Group Benefits (Health, Dental, Vision, Long Term Disability) Company matched RRSP Wellness Program Profit Share Program 5 Paid Personal Days Salary Range: $46 - $50K Annually The Payroll and Benefits Clerk is responsible for the accurate and timely processing of payroll and benefits transactions, maintaining employee records, and providing administrative support related to payroll and benefits administration. As a member of the Corporate Human Resources team, this role supports Hansen’s group of companies and contributes to the efficient delivery of payroll and employee services across the organization. Reporting to the National Payroll & Benefits Administrator, the Payroll and Benefits Clerk manages a high volume of confidential and sensitive employee information, ensuring data integrity, compliance, and accuracy in all payroll-related processes. This position requires exceptional attention to detail, a high degree of reliability, and the ability to build and maintain strong working relationships with employees and field operations teams across the organization. Key Competencies Accountability Adaptability Communication Results Driven Teamwork Job Duties Coordinates with Hiring Managers/Supervisors to intake new hires, validate New Hire Checklist and onboard New Hires into Dayforce. Initiate communications to New Hires and follow up with the employee on open items for close out such as: SIN, Driver’s License, Banking Information, Work Permits. Create files and update accurate and timely documentation to ensure compliance with file retention. Follow payroll procedures for terminated employees and submit termination requests for approvals daily. Serve as a point of contact and respond timely to employees’ requests, escalate as necessary to resolve timely. Initiate the Benefits Enrollment process: validate completion of forms and submit for processing, includes Group Health Benefits, RRSP and Long-Term Disability. Coordinate Benefits Changes requests, Benefits Terminations and updates to files. Maintain database and validate all updates in Benefits Portals on a weekly basis. Maintain reports, update, and follow up on incentive payments related to Human Resources programs: Employee Referral Bonus Program, 50/50 Charity/Employee Lottery, Annual Scholarship Program, Employee Service Awards, Annual Holiday Events and others. Provide Employment Agencies with Weekly Employee Time Sheets. Maintain Leave of Absence (LOA, LTD and Injury Leave) tracking, notes and accurate data in Dayforce HCM. Approve Agency Invoices for payments, resolve gaps with Managers/Supervisors. Prepare Agency accrual Monthly Reconciliations. Extract timesheets and review work hours for completeness and accuracy as required. Provides ongoing Payroll support in preparation of Bi-Weekly Payroll and acts as Payroll backup during annual vacation leave. Provides Monthly, Quarterly and Year-End Payroll Support to ensure successful completion of all deadlines. Support with data analytics, resolving payroll discrepancies and audits. Receive and log all incoming department mail and distribute accordingly. Dispatch department couriers and notify receivers. Required Skills/Abilities: Excellent work ethics and quality of documentation. Excellent verbal and written communication skills. Proficiency in Microsoft Office (Teams, Outlook, Word, Excel and PowerPoint) and other relevant applications. Excellent time management skills and ability to meet deadlines. Ability to manage accurate data & documentation. Ability to abide by Code of Ethics and Business Conduct, Confidentiality and maintain privacy of employee information. Education and Experience: University / College degree in relevant field. Minimum of 2 years working experience in Payroll and HR Departments. Working knowledge of Dayforce HCM preferred. Working knowledge of Benefits Administration. Working knowledge of WSIB / WCB / CNESST / EHT documentation & process. Work Conditions Sitting at a desk and working on a computer. Handling of office supplies and related equipment. Ability to build relationships with employees.
