Job Title: Payroll Coordinator Work Setting: In-Person Shift Schedule: Monday-Friday; Day Shift Location Details: Ontario Position Summary Reporting to the Operations Manager, the Payroll Coordinator is responsible for the accurate and timely processing of payroll and payroll-related administration. This role ensures payroll information is maintained accurately, payroll activities are completed in compliance with applicable legislation and company procedures, and all client reporting, invoicing, and payroll deadlines are met. The Payroll Coordinator supports employees, clients, and internal teams through exceptional customer service, attention to detail, confidentiality, and a commitment to operational excellence. Payroll Administration Collect, review, and accurately enter weekly employee hours into the payroll system. Enter and process employment-related payroll deductions. Verify payroll data for completeness, accuracy, and compliance with company policies and legislative requirements. Process payroll payments, including cheques and electronic deposits. Maintain employee payroll records and payroll-related information. Investigate and resolve payroll discrepancies. Prepare and issue Records of Employment (ROEs) and other payroll-related documentation. Reporting & Invoicing Prepare and issue client invoices accurately and on time. Prepare and distribute client-specific payroll and invoicing reports and metrics. Maintain accurate payroll records, tracking systems, and documents. General Responsibilities Provide support regarding payroll entries, invoicing, deductions, direct deposits, tax forms, reporting, and related inquiries. Build positive working relationships through effective communication and service excellence. Maintain strict confidentiality of employee and client information. Contribute to process improvements that enhance payroll accuracy and efficiency. Perform other duties and responsibilities as assigned. Qualifications & Experience Experience processing payroll and payroll-related administration. Strong attention to detail and accuracy. Ability to manage competing priorities and meet strict deadlines. Commitment to confidentiality and customer service excellence.
