REPORTING: Under the general direction of the Clinical Manager, Oncology, Medical and Palliative Unit. DUTIES: Process patient admissions, transfers and discharges. Create, prepare and update patient charts. Book tests, procedures, appointments and coordinate patient flow. Provide reception and general office functions to the unit (e.g. payroll entry, scheduling). Provide assistance, guidance, and direction to patients and visitors. Book and facilitate patient transportation for patient discharges, transfers, and repatriations. Answer inquiries and relay telephone calls and messages. Provide updates and reports on unit status. Order office supplies as required. Order and maintain stock of medical supplies and equipment. Participate in education and training specific to current, relevant federal and provincial health and safety legislation, standards and guidelines. Contribute to learner development by providing academic support, mentorship, preceptorship and supervision as required. Participate in hospital training as required. Assist with improvement initiatives as required. Perform other duties as required. QUALIFICATIONS EDUCATION AND TRAINING: Minimum of a one (1) year Diploma in a Medical Office Administration or related field from an accredited college. Ministry of Labour “Worker Health and Safety Awareness in 4 Steps” training certificate is required. EXPERIENCE: Minimum six (6) months’ recent and relevant experience is required. KNOWLEDGE/SKILLS/ABILITIES: Demonstrated knowledge of and proficiency with Medical Terminology. Demonstrated ability to type a minimum of 50 w.p.m. and proficiency in data entry. Demonstrated excellent organizational skills and the ability to function in a multi-tasked environment. Demonstrated superior interpersonal and communication skills, both written and verbal. Demonstrated ability to manage routine correspondence, multiple tasks/projects, diversified workload and rapidly changing priorities and challenging deadlines. Demonstrated discretion and maturity when handling confidential information. Demonstrated advanced computer skills with proficiency in Microsoft Office software (e.g. Word, Excel and Outlook) and applicable patient information systems. Demonstrated ability to effectively interact and communicate with patients, families, and healthcare workers. Demonstrated ability to prioritize tasks. Demonstrated compliance with HSN’s privacy policy. Demonstrated commitment to the safety of co-workers and patients. PERSONAL SUITABILITY: Demonstrated commitment to ongoing professional development. Demonstrated professionalism in dealing with confidential and sensitive issues. Demonstrated positive work record and good attendance record.
