Job summary

Job Description: HR Project Partners is seeking a Project Data Management Coordinator on behalf of one of our clients. The successful candidate will support dispersed teams across multiple time zones and geographies while being based in Montreal. This position sits within a dynamic central function supporting the Rio Tinto Projects Portfolio in Canada. This is an excellent opportunity for a collaborative team player with strong stakeholder engagement capabilities, proven team leadership experience, and a solid understanding of document control processes. The role will also contribute to project setup, contractor onboarding, and continuous process improvement initiatives. Duration: 9‑month initial contract with the possibility of extension Location: Montreal — minimum 4 days per week in office Language Requirements: Bilingual English & French (Spanish considered an asset) Essential Job Functions: Quality control and verification of project deliverables from contractors and ESPs Training and technical support for internal and external stakeholders Participation in coordination meetings and communication follow-up Reporting and data cleansing, in collaboration with the PDM Lead Follow-up on pending project deliverables and RFI documentation Systems to be required SharePoint, InEight, MS Office. Onboard new starters, coach, and buddy up to ensure the ongoing development of DCs Train DCs on internal PDM processes Produce and distribute weekly expediting report Escalate issues not resolved within 24hrs to Lead Conduct fortnightly contractor check-ins Review CDS with each contractor, monthly Maintain distribution matrix, monthly Attend project meetings, as per project cadence and engage regularly F2F with project peers Conduct ongoing user system training (InEight, SharePoint) Deliver plan for project setup and handover planning requirements as defined by Lead Role model stakeholder responsiveness (24hrs) Actively participate in improvement idea generation and any associated implementation of CI initiatives Streamline InEight and SharePoint access requests Education and Experience Requirements: Minimum five years of experience in a document control role working on large projects Experience in engineering and construction projects Previous experience in managing small to medium document control teams Previous exposure in installing and managing Document Control systems and processes Previous experience in project set-up and contract/project close-out and handover Previous experience in managing suppliers, contractors and/or vendor teams Document Control experience across the project lifecycle, from Order of Magnitude study to handover and close-out Experience working at or supporting projects on site Prior experience with InEight Document and SharePoint Knowledge, Skills, and Attributes: A commitment to the safety of yourself and your team Excellent collaboration and engagement skills dealing with stakeholders’ groups and team members Ability to oversee, manage and report on the team’s workload Ability to excel in a fast-paced work environment How to Apply: When submitting your application to HR Project Partners for this opportunity, please submit a PDF version and clearly state the job title for which you are applying.
