Why This Role Matters We are seeking a collaborative, numbers-savvy leader to serve as the operational backbone of our organization. Reporting to the Executive Director and working in close partnership with our Board Treasurer, the Manager of Finance & Administration leads hands-on financial management, multi-stakeholder grant accounting, payroll administration, audit preparation, and core organizational workflows. What You Will Do Manage full-cycle accounting in QuickBooks Online, including accounts payable, receivable, reconciliations, and month-end closes. Track restricted funding and prepare financial variance reports for government, foundation, and community partners. Administer payroll, employee records, CRA source deductions, T4s, and WSIB filings through Payworks. Lead preparations for the annual independent financial audit and coordinate statutory filings, including the CRA T3010 charity return and GST/HST rebates. Produce monthly financial packages for the Board of Directors and record official minutes at Board and AGM meetings. Leverage, and strengthen, our digital environment to improve our operational efficiency and stakeholder experience. Work closely with the Projects and Programs Manager to ensure our programs and services are delivered on time, to budget. Coordinate office administration, commercial insurance renewals, vendor agreements, and employee contracts. Be the 'engine' that keeps our organization running! What You Bring (Skills-First Approach) We prioritize demonstrated competence and practical problem-solving over rigid degrees or credentials. You will thrive in this role if you can demonstrate: Proven capability in managing full-cycle bookkeeping and fund accounting in non-profit, charitable, or small business settings. Practical proficiency with QuickBooks Online and cloud payroll software such as Payworks or ADP. Deep understanding of Canadian charity compliance, funder reporting, and audit working paper preparation. Strong organizational agility to balance financial deadlines, vendor contracts, and board secretarial duties with confidentiality. Clear communication skills to explain financial insights to team leaders and board members. A growth mindset to imagine what is possible for our organization, and the interpersonal skills to develop Board, Leadership and Staff 'buy in' to drive change. A CPA designation, accounting diploma, or bookkeeper certification is welcomed as an asset, but equivalent practical experience is valued.
