The Role: The Account Services Representative provides background administrative support to the customer-facing teams within Dealer Development. Primarily focused on order flow and ensuring fulfillment - the role will involve both creation and management of order documents along with monitoring the status and following up on the flow of the orders themselves. The role will involve working daily with but not limited to the following teams: Account & Relationship Management will submit OIF (Order Information Form) requests, PBS Admin may inquire regarding the status of specific orders to coordinate their billing process, DTO / STT to confirm status of onsite training and software requests. Admin Orders to determine product availability and back-order status. Job Responsibilities: OIF creation and processing Online MS Purchase Forms - Automated sales inquiry response – labels / routers /printers / other features as added Inter-department meeting attendance Coverage for Executive Assistant role for specific order requests when they are unavailable Acting as a monitor of internal processes to ensure document flow is correct and moving ensures that our customers receive the goods and services expected The representative is responsible for helping customer-facing teams keep their promises to our clients Maintain Monthly Cancellation Spreadsheet and submit to executive monthly Update customers with out-of-stock or back-order situations as required Non DMS meeting review what needs to be brought up by team members Review open OIFs and cornerstone calls to verify progress being made or why not Process Historical Renewals Begin process for Customer Changes by confirming Dealer request, and sending out forms as needed to authorized users Weekly reconciliation of orders Qualifications: High School Diploma Solid knowledge of Microsoft Office Suite – including word and excel PBS Certified Professionals program is encouraged Ability to embrace variety, change and innovation Listening and organizational skills, attention to detail, and a strong follow up ethic are the key attributes for success in this role Superior verbal and written communication skills Strong follow-up skills and internal communication / relationship skills are essential Excellent time management, and the ability to work independently are a must What we offer: Professional Development – Continuous training, industry certifications, and clear pathways for career advancement Travel Opportunities - Travel to locations across Canada, the U.S., and the Caribbean Comprehensive health benefits - Medical and dental coverage to support your well-being Paid Time Off – PTO to help you recharge and maintain work-life balance Inclusive culture - A collaborative, supportive team environment where your ideas and voice truly matter Employee recognition - Regular appreciation programs and performance-based incentives Competitive compensation package Competitive annual base salary Up to $4,800 per year in product certification bonuses Additional performance incentives Attractive employee referral bonuses Staff discounts – Exclusive savings with partners such as GM, Dell, and more Should you be selected for an interview, you will be contacted via email.
