Office & Operations Coordinator

About the Role
We're looking for an organized, proactive Office & Operations Coordinator to be the operational hub of our electrical contracting team. You'll own the flow of information between our sales, field, and inspection processes — keeping every job accurate, every record in order, and every person, from the front door to the job site, well taken care of. If you love bringing order to a fast-moving business and being the person everyone can count on, we'd love to meet you.
What You'll Do
- Coordinate Electrical Safety Authority (ESA) inspection administration, keeping submissions, tracking, and documentation accurate and on schedule.
- Set up new jobs and work orders in NetSuite, and keep our Drive filing system accurate and current as projects move forward.
- Monitor incoming Purchase Order correspondence and make sure sales, revisions, and work orders are reflected correctly across our systems.
- Support our field crews with what they need to keep projects moving, including printing drawings on request.
- Be the welcoming first point of contact for visitors, calls, and general office needs.
What You Bring
- A self-starter who takes ownership, follows through, and doesn't need to be chased for updates.
- Calm and organized under pressure, with a sharp eye for detail and pride in getting things right the first time.
- A clear, friendly communicator who's just as comfortable on the phone or at the front desk as behind a screen.
Experience & Skills
- Experience working in a construction, electrical, or trades office is strongly preferred — you understand how job sites, work orders, and field crews operate.
- Prior administrative, coordination, or reception experience.
- Proficiency with Microsoft Office and/or Google Workspace (Docs, Sheets, Drive); comfort learning new software quickly.
- Experience with NetSuite or similar business/ERP software is an asset, but not required — we'll train the right person.
- Strong written communication skills for accurate documentation and correspondence.
Education
- High school diploma required.
- Post-secondary education in office/business administration or a related field is an asset, but relevant experience will also be considered.
