Role Description As our Bookkeeper & Office Administrator, you will be integral to daily operations, ensuring financial records are accurate, the office runs smoothly, and our team has the support they need to focus on what they do.
Qualifications
- Proven experience in bookkeeping and office administration (minimum 2–3 years).
- Proficiency with accounting software (QuickBooks).
- Proficiency with word processing and Excel.
- Strong organizational skills with the ability to juggle multiple priorities without losing attention to detail.
- Excellent communication skills, both written and verbal.
- A proactive mind set and the ability to work independently.
- Discretion and integrity when handling confidential information.
Key Responsibilities
- Maintain accurate financial records, including accounts payable, accounts receivable, bank reconciliations and payroll, using QuickBooks.
- Prepare monthly financial reports and assist with budgeting and forecasting.
- Prepare Year End reports for accountant.
- Manage office operations: reception, screening calls, ordering supplies, coordinating schedules, filing (electronic and hard copy), tracking jobs and tasks, shipping documents, etc.
- Serve as the first point of contact for clients, vendors and visitors, ensuring a professional experience.
- Administrative tasks such as proofing reading, preparing contracts, preparing service and fee proposals, etc.
