Job Title: Facilities Supervisor
Job Description
The Facilities Supervisor oversees all aspects of facility operations, maintenance, and vendor relationships to ensure safe, reliable, and efficient environments across multiple locations. This role manages budgets, leads a team in a unionized setting, coordinates major maintenance projects, and supports long term care or condominium facilities by ensuring building systems, equipment, and fleet vehicles operate to high standards.
Responsibilities
Manage, review, and approve department expenses and costs related to facility utilities, vendor expenses, and overall departmental spending. Lead and oversee major maintenance projects from planning and budgeting through execution and completion, ensuring projects meet scope, schedule, and quality expectations. Monitor vendor performance to ensure adherence to contractual obligations, service-level agreements, and quality standards, and address performance issues as required. Manage maintenance contracts, including contract negotiation, contract administration, and ongoing review of contract effectiveness. Oversee the maintenance and reliability of the organization's fleet vehicles, ensuring they are safe, compliant, and available to support operations. Manage and monitor scheduling, hours of work, vacation approvals, leave requests, performance issues, performance reviews, overtime approvals, training and professional development, and allocation of resources in a unionized work environment. Oversee a team of approximately 5–10 direct reports, providing leadership, guidance, and performance management to support a high-performing facilities team. Monitor work requests through a ticketing system, ensuring work is assigned appropriately, completed within service deadlines, and meets established quality standards. Conduct regular safety audits of facilities, identify risks, and implement corrective measures to ensure compliance with fire codes and other safety regulations. Collaborate with service providers to coordinate maintenance and repair of medical equipment as required, ensuring minimal disruption to care and services. Supervise the inventory and distribution of facility-related supplies and equipment to ensure availability, accountability, and cost-effectiveness. Review the acquisition of all supplies and equipment and make recommendations on how to strengthen accountability and optimize procurement. Support organizational leadership on projects related to consolidation of services and third-party provision of facilities-related services. Apply knowledge of fire codes and safety regulations to ensure facilities operate in compliance with applicable standards, particularly in long term care or condominium settings. Oversee maintenance activities related to plumbing, HVAC, kitchen systems, and other building infrastructure, ensuring issues are inspected, addressed, and completed to satisfaction. Participate in an on-call rotation to respond to urgent facilities issues and support continuous operations across sites.
Essential Skills
3-year college diploma or university degree in Facilities Management or a closely related field. 5–7 years of experience in facilities maintenance or facilities management roles. Proven experience managing a team of 5–10 people, including direct reports and day-to-day supervision. Demonstrated experience working in a unionized work environment, including scheduling, performance management, and resource allocation. Experience in long term care or condominium settings, with an understanding of the specific operational and regulatory requirements of these environments. Strong contract and vendor management experience, including managing vendor contracts and maintenance contracts from negotiation through completion and review. Hands-on experience with facility maintenance operations, including preventive maintenance and oversight of building systems such as plumbing, HVAC, and kitchen infrastructure. Working knowledge of fire codes and safety regulations, and experience applying them in facility operations. Experience with fleet management, including oversight of vehicle maintenance, safety, and utilization. Proficiency with maintenance ticketing systems, including Maintenance Care or comparable systems, to manage and track work requests. Ability to conduct safety audits, identify risks, and implement corrective actions. Strong organizational and budgeting skills to manage departmental spending and control costs. Effective leadership, communication, and interpersonal skills to lead a diverse team and coordinate with internal stakeholders and external vendors.
Additional Skills & Qualifications
Experience supporting facilities in long term care environments, contributing to the comfort, safety, and well-being of residents and staff. Experience in condominium facility management, including coordination with third-party service providers and resident-focused operations. Demonstrated ability to inspect and review completed work to ensure quality and contract compliance. Experience supporting projects related to consolidation of services and third-party service provision. Ability to supervise inventory management and distribution of supplies and equipment, with a focus on accountability and cost control. Strong problem-solving skills and the ability to prioritize and respond effectively in an on-call capacity. Commitment to supporting mission-driven or not-for-profit organizations and contributing to the care of long term care populations. Comfort working with cross-functional leadership teams and providing clear updates on facilities status, risks, and projects.
Work Environment
This role is fully onsite, working five days per week. The primary work location is in Oakville, with some travel required to additional sites in Burlington and Halton Hills. Company vehicles are available for travel between these locations. The Facilities Supervisor oversees a team of approximately 10 staff and works closely with organizational leadership in a structured, unionized environment. The facilities include long term care or condominium settings, with building systems such as plumbing, HVAC, kitchen infrastructure, and medical equipment requiring regular maintenance and oversight. Work involves frequent interaction with vendors, service providers, and internal departments, as well as regular use of a maintenance ticketing system to manage work orders and service requests. The environment emphasizes safety, adherence to fire codes and regulatory standards, and a strong commitment to supporting residents and users of the facilities. The position is offered as a 6-month contract with some possibility of extension, providing the opportunity to support a not-for-profit organization and contribute directly to the well-being of people in long term care.

The pay range for this position is $30.00 - $36.06/hr.
