General Accountability
Reporting to the Office Services Manager and Assistant Manager, we are seeking a professional, service-oriented Receptionist to help deliver an exceptional experience for our clients, lawyers and staff. Working as part of a three-person reception team, this role plays an integral part in creating a welcoming, professional, and responsive environment by providing exceptional front-of-house service and administrative support across the firm.
Working within a structured reception rotation, each Receptionist supports operations across our 25th and 19th floor reception desks on a rotating schedule. Receptionists share responsibility for managing client and visitor interactions, coordinating communications and supporting the day-to-day operations of the office to ensure a seamless experience for both internal and external clients. In addition to shared reception responsibilities, this position provides administrative support to our legal teams and assists with various office services functions as required.
The work schedule is subject to operational requirements and will vary, with shifts scheduled between 8:00 a.m. and 5:30 p.m.
Primary Responsibilities
Reception and Client Service Greet and welcome clients and visitors in a professional and courteous manner. Manage incoming telephone calls, ensuring timely and accurate routing of inquiries. Escort clients and visitors to boardrooms and perform light hosting duties as required. Monitor reception and boardroom areas to ensure a professional appearance at all times. Provide general information and assistance to clients, visitors, lawyers and staff. Administrative and Office Support Coordinate incoming and outgoing courier deliveries and mail distribution. Perform scanning, document digitization, printing and other document support services. Monitor and replenish reception and boardroom supplies as required. Support file management processes, including conflict searches. Perform file opening and closing procedures in accordance with firm policies. Assist lawyers, legal assistants and administrative departments with various administrative requests. Maintain accurate records and complete assigned tasks in a timely and confidential manner. Assist with special projects and other duties as assigned.
Qualifications And Skills
One to three years of reception, administrative, customer service or related experience. Experience in a law firm or other professional office environment is considered an asset. Exceptional customer service skills with a professional and welcoming approach. Strong verbal and written communication skills. Excellent attention to detail and organizational abilities. Demonstrated ability to manage competing priorities in a fast-paced environment. Ability to exercise discretion and maintain confidentiality. Strong interpersonal skills and the ability to work collaboratively with colleagues at all levels of the organization. Reliable, punctual and dependable with a strong work ethic. Intermediate proficiency with Microsoft Office 365.
Compensation And Benefits
The typical salary range for this position is $55,000.00 - $60,000.00 annually. Actual compensation will be determined based on experience, qualifications, internal equity and market considerations. Farris offers a competitive total rewards package, including:
