The Executive Assistant provides high-level administrative and strategic support to senior executives and leadership teams, ensuring seamless day-to-day operations for the Strategy & Operations team (VP-level roles). Is this role right for you? In this role you will:
Provide senior-level administrative, calendar, and time management support to one or more senior executives Exercise discretion, confidentiality, sound judgment, and organizational knowledge to effectively support executive priorities Manage complex calendars by prioritizing meetings, resolving conflicts, and ensuring alignment with daily, weekly, and strategic objectives Coordinate meetings and events, including logistics, materials, minutes, offsites, and external functions Manage incoming and outgoing communications, including emails, calls, reports, and internal correspondence Prepare, gather, and validate information for executive communications, presentations, reports, speeches, and meeting materials Coordinate travel arrangements, including flights, accommodations, transportation, and detailed itineraries Process expense reports and maintain accurate records of expenditures and billing Act as a key liaison and gatekeeper for internal and external stakeholders, including vendors, colleagues, and clients Identify and support administrative process improvements while ensuring alignment with global policies and controls Support risk, compliance, AML/ATF, and business continuity requirements, including acting as the Business Continuity Plan (BCP) coordinator when required Promote a customer-focused, inclusive, and high-performance culture aligned with Scotiabank’s values and Code of Conduct
Do you have the skills that will enable you to succeed in this role?
Minimum 2+ years of experience as an Executive or Administrative Assistant Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) Experience working in large, complex organizations with significant stakeholder interaction Exceptional organizational skills with a high degree of autonomy and a proactive, solution-oriented mindset Strong attention to detail and high level of discretion when handling confidential information Ability to operate effectively in a fast-paced, high-change environment Excellent time management, communication, and presentation skills
