Qualifications
MINIMUM FORMAL EDUCATION/TRAINING REQUIRED:
- Undergraduate degree in communications, event planning a related discipline.
- Knowledge of university regulations, programs and procedures as they relate to the function/program.
EXPERIENCE:
- Three years of directly related administrative experience required.
- Five years’ experience working with Indigenous organizations, communities, peoples, Elders, Residential School Survivors is required.
- Experience working directly with a Director or Senior Staff level.
- Proven experience with Indigenous organizations, Survivors, Elders and diverse communities is essential.
- Experience developing and implementing policies and procedures is essential.
- Experience planning, arranging, and facilitating events in a community setting is essential.
- Knowledge of and sensitivity to Indigenous cultures is essential.
- Experience supervising and managing the performance of direct reports is essential.
- Experience preparing detailed work plans and progress reports is essential.
- Public speaking is an asset.
- Experience working within an archival or related academic library environment is an asset.
- Experience working within a cross-functional project team environment is an asset.
- An acceptable equivalent combination of education and experience may be considered.
SKILLS AND ABILITIES:
- Excellent verbal and written communication skills and be able to work effectively with students, staff, faculty, Elders, alumni, Indigenous communities, community organizations, and the public is required.
- Possessing a demonstrated ability to work independently and accurately under pressure is required.
- Must have exceptional decision-making and interpersonal skills including diplomacy and tact are required.
- Must have a demonstrated ability to deal with high demand and/or stressful contacts is required.
- Must have a strong work ethic and be willing to take the initiative to solve problems and learn new tasks is required.
- Attention to detail is required.
- Well-developed knowledge of general office practices is required.
- Must be pleasant and efficient in communication with students and staff is required.
- Must have excellent organizational and time management skills is required.
- Must be proficient with Microsoft Office and using intermediate features associated with a Windows computer environment including database/spreadsheet management, calendar software, and mail software is required.
- Must be proficient with video conferencing software (e.g. Zoom, Microsoft Teams) is required.
- Must be proficient in expense management, travel and invoice software (e.g. Concur) is required.
- Demonstrated ability to train and supervise the work of others is required.
- Demonstrated ability to work with others is required.
- Organizational, time-management skills and the ability to work effectively under deadline is required.
- Knowledge of Indigenous history in Canada, including Residential School history is required
- Ability to think analytically, anticipate and resolve problems, exercise sound judgment and carry out duties with tact and diplomacy in a confidential environment is required.
- Ability to perform tasks quickly, independently and undertake work as directed by the Head of Archives and the Senior Archivist is required.
- Must be physically capable of performing the duties as assigned, which may include moderate to heavy lifting of 2 kg to 10 kg, standing/sitting for long periods of time and exposure to dust is required.
- A satisfactory work record, including satisfactory attendance and punctuality, is required.
OTHER JOB RELATED QUALIFICATIONS:
- High degree of analytical thinking preferred.
- Problem solving and conflict resolution skills preferred.
- Ability to speak French and/or an Indigenous language an asset.
- Strong relationship with Indigenous communities.
- Knowledge of Indigenous languages is preferred.
Key responsibilities
Community engagement and relationship building:
- Liaises and develops long-term relationships with Indigenous communities built on reciprocity to facilitate access to records and knowledge sharing.
- Develops a community engagement strategy to confirm student deaths.
- Notifies next-of-kin or community of student deaths.
- Works closely with NCTR colleagues to assist in the development and distribution of information products to better assist community led activities.
- Conducts outreach sessions (virtual and in-person) to communities including attending community gatherings and conferences where applicable.
- Ensures communities and families guide the commemoration of this information with appropriate ceremonies and protocols.
- Documents comments and feedback gathered from Indigenous community members during community engagements.
- Works with the NCTR Archives team to update the National Student Memorial Register based on community feedback.
- Works with the NCTR GIS team to establish a National Student Burial Register based on community feedback.
- Conducts all the work to the highest of ethical, technical, and administrative excellence while paying close and specific attention to the expectations of Inuit, Metis and First Nations peoples, Survivors, and community aspirations/rights regarding residential schools and their legacies.
- Travel as required to urban and remote Indigenous communities by commercial/private plane and/or vehicle.
Management:
- Managing community engagement activities within the NCTR Missing Children Project.
- Coordinating with Project Coordinator, Research Coordinator, and GIS Technical Coordinator to successfully complete objectives and resolve issues.
- Supervise and motivate Community Engagement Liaison team to fulfil the outcomes of the projects linked to Call to Action 72 and 73, including assigning duties, monitoring work, and appraising performance.
- Assist with recruitment and selection of Community Engagement Liaisons.
- Provides advice to NCTR Senior leadership to develop and enhance strategies to better support Community led initiatives surrounding residential schools and their legacies;
- Attends project planning meetings and project status meetings on regular or as needed basis.
- Prepares and maintains an accurate community engagement work plan with clear objectives, deliverables, budget, and timelines, and status reports to clearly demonstrate activities completed, activities in progress, or remaining activities to be completed.
- Prepares community engagement progress reports (on a regular or as needed basis) to communicate recently completed activities, and remaining activities to be completed.
- Arranges travel, room rentals, catering, translation services, note-taking services, gifts, and honorariums for community engagement purposes.
Other:
- Other duties pertaining in CTA 72 and 73, as agreed upon by the Department and the Centre, or as per the Terms and Conditions of the NCTR-CIRNAC Contribution Agreement.
- May be required to perform related duties not exceeding skills and capabilities as required.
