Position: Maintenance Coordinator Term: Permanent Contracted Hours: 36-40 per week Location: Various Locations Salary: Commensurate with experience Responsible To: Community Leader L’Arche Homefires is seeking an energetic and solutions focused individual to maintain and attend to our residential properties, commercial building and fleet of vehicles. We currently have five L’Arche homes in and around Wolfville where people with and without disabilities live together. The main commercial building is situated in downtown Wolfville. Permanent roles offer a fair starting wage and are eligible for L’Arche Homefires’ extensive benefits package based on the L’Arche Canada National Compensation Policy. Major Duties and Responsibilities: • Coordinate and monitor maintenance activities to support compliance with applicable legislation, codes, standards, and organizational policies. • Oversee and coordinate the general maintenance of our fleet of vehicles, including MVI inspections, servicing, repairs, and related documentation. • Maintain professional and respectful relationships with Core Members, community members, outside contractors, and vendors. • Assist with asset management, including maintaining records of buildings, vehicles, equipment, appliances, warranties, service history, and replacement needs. • Demonstrate basic budgetary knowledge and monitor maintenance related expenditures to ensure spending is appropriate and within approved budgets, working closely with the Finance Coordinator. • Active member of the Occupational Health & Safety Committee and assist with homes, equipment, and building inspections as required. • Develop and maintain seasonal, annual, and bi-annual preventative maintenance schedules, ensuring required maintenance and inspections are completed and properly documented. • Be the main point of contact for maintenance requests, carrying a work cell phone and ensuring requests are documented, prioritized and followed through to completion. • Respond to urgent and after-hours maintenance emergencies as required, carrying a work cell phone. • Assist with snow removal and outside property upkeep as required, for all seasons. • Monitor appliances, vehicles, equipment, and building systems, providing general repairs where appropriate and identifying when specialized service or qualified contractors are required. • Maintain basic working knowledge of plumbing, electrical, HVAC, carpentry, vehicle maintenance, and general home and building repairs. • Assess and prioritize maintenance requests, ensuring urgent safety concerns are addressed in a timely and responsible manner. • Coordinate contractors and vendors for repairs, inspections, servicing, and maintenance projects, including obtaining quotes where appropriate and coordinating access to homes and the main building. • Maintain accurate records, including maintenance logs, work orders, inspection reports, service records, warranties, contractor information, and incident reports. • Track outstanding maintenance requests and follow up with community members to ensure work is completed within appropriate timelines. • Track maintenance expenditures, review invoices where appropriate, provide updates to the Executive Director and Finance. • Assist with annual budget planning related to maintenance and the vehicles. • Assist in identifying maintenance, repair, replacement, and provide recommendations. • Maintain accurate documentation related to inspections, permits, certifications, warranties, service agreements, and preventative maintenance. • Work collaboratively and remain accountable to other members of the team, including OH&S, Homes Coordinator and the Community Leader. • Participate in ongoing training as required by L’Arche, legislation, organizational policies, and the requirements of the position. • Perform other related maintenance and coordination duties as required. Qualifications: • Knowledge of L’Arche history, core values, and mission is considered an asset. • Ability to communicate professionally and respectfully with others. • Minimum two years of experience performing general property maintenance, preferably combined with relevant training, or experience in a maintenance role. • Residential maintenance and commercial building maintenance considered an asset. • Experience coordinating maintenance requests, contractors, or service providers. • Experience with preventative maintenance scheduling and asset management. • Developed computer skills with the ability to utilize Microsoft 365 and iPhone as it relates to the role. • Occupational Health and Safety requirements, building standards, and regulatory requirements considered an asset. • Shows initiative and attention to detail, with strong time management skills and the ability to meet deadlines. • Highly organized, able to set priorities, manage multiple requests, while following through on commitments. • Strong ability to communicate effectively and work collaboratively within a team environment. • Can remain calm and flexible in times of crisis or emergency. • Ability to troubleshoot and assess maintenance concerns to determine appropriate solutions. • Open to learning and growing, and able to give and receive feedback. • Flexibility to respond to urgent after hour’s maintenance emergencies as required. • Clear police checks, including Vulnerable Sector Screening, required. • Valid CPR and Standard First Aid (2-Day) certification required. • Ability to stand and walk for extended periods and safely push, pull, and lift up to 35 lbs. • Valid driver’s licence with reliable vehicle is a bona fide requirement of the position. KM’s are reimbursed in accordance with community policy.
