Office Administrator – Toronto Office (On-site) Location: Toronto, ON Work Arrangement: On-site, 5 days per week (Downtown Toronto office) Compensation: $80,000 – $100,000 base salary AI Disclosure: We use AI tools to assist in parts of our recruitment process. Our client is seeking a hands-on and highly organized Office Administrator to oversee the day-to-day operations of their Toronto office. This is a practical, on-site role for someone who enjoys being the go-to person, keeping things running smoothly, and supporting employees, vendors, and internal stakeholders. The successful candidate will be proactive, detail-oriented, and comfortable managing a variety of administrative and operational responsibilities. Key Responsibilities: Manage the day-to-day operations of the Toronto office Serve as the first point of contact for office-related questions and requests Receive and manage incoming mail, deliveries, and vendor visits Coordinate office suppliers, including couriers, cleaning services, IT support, catering, and other external providers Coordinate and manage service agreements with external vendors Maintain strong relationships with external service providers and ensure office needs are addressed efficiently Support the Sales team and Country Manager with administrative requirements Prepare purchase orders and assist with invoice coordination and tracking Maintain office records, trackers, and documentation to ensure accuracy and organization Support onboarding logistics for new employees Provide front-of-office support, including welcoming visitors, managing incoming calls, and coordinating appointments Assist with the planning and execution of internal meetings, events, and office activities Prepare meeting rooms and coordinate event-related logistics Identify potential issues proactively and take ownership of solutions Provide general administrative and operational support as required Qualifications & Experience: Previous experience in office administration, workplace coordination, operations, retail, hospitality, or a similar environment Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment Excellent verbal and written communication skills Strong attention to detail and accuracy Ability to work independently while collaborating effectively with internal teams and external partners Comfortable interacting with vendors, employees, and leadership teams Professional, reliable, and service-oriented approach Ability to handle confidential information with discretion Skills & Attributes: Strong proficiency with Microsoft Office Suite Highly organized with strong follow-through skills Hands-on, proactive, and solution-focused mindset Ability to anticipate needs and address issues before they arise Positive attitude with a willingness to support a variety of business needs Strong customer service orientation and professionalism Our client offers an exciting opportunity for an individual who enjoys taking ownership, supporting a growing organization, and playing a key role in maintaining an efficient and welcoming office environment.
