Job Summary The Education Intake Navigator serves as the primary point of contact for community members seeking education, training, employment, and post-secondary support. This position coordinates the intake process for all Education Department programs by ensuring applications are complete, eligibility requirements are met, documentation is verified, and clients are connected with the appropriate Education staff member. The Education Department Navigator acts as the liaison between clients and the Education Department while providing respectful, culturally safe, and confidential service to community members. The position supports a seamless intake process that improves client service, reduces processing delays, and ensures compliance with Nak’azdli Whut’en policies, funding agreements, and program requirements. Key Responsibilities Client Intake & Assessment * Serve as the first point of contact for all education and training inquiries. * Welcome community members and provide professional, respectful customer service. * Conduct intake interviews to identify educational goals, training interests, and support needs. * Explain available education, employment, and training programs. * Determine the appropriate program or staff member based on client needs. * Assess preliminary eligibility according to program requirements. * Schedule appointments with Education staff as required. Application Coordination * Assist clients in completing all required application forms. * Explain documentation requirements and application processes. * Ensure all applications are completed prior to submission. * Verify required supporting documentation including: * Identification * Status documentation * Transcripts * Acceptance letters * Financial documentation * Program registration * Funding requirements * Other required documentation * Follow up with applicants regarding missing information. * Maintain application tracking systems. Program Liaison Coordinate completed applications to the appropriate Education staff including: * Education Manager. * Education Coordinator. * Student Mentor. * Post-Secondary Assistant. * Other Education staff as assigned. Ensure all required documentation accompanies each referral. Client Support * Provide guidance regarding Nak’azdli Whut’en Education programs. * Explain the Indigenous Skills and Employment Training (ISET) Program. * Explain the Nak’azdli Whut’en Post-Secondary Education Policy. * Provide information on available funding opportunities. * Assist clients in understanding eligibility requirements. * Connect members with community resources that support educational success. * Maintain regular communication with applicants regarding application status. Administrative Duties * Maintain confidential client files. * Complete accurate data entry. * Process applications and correspondence. * Prepare reports as requested. * Maintain filing systems. * Answer telephone and email inquiries. * Schedule appointments and meetings. * Assist with education events, workshops, and orientations. * Perform general clerical duties. * Order office supplies as required. Records Management * Maintain accurate client records. * Ensure confidentiality in accordance with organizational policies and applicable privacy legislation. * Track application status. * Maintain program statistics. * Support reporting requirements for funding agencies. Community Engagement * Contact students regarding program requirements. * Assist with education workshops and community events. * Promote education and training opportunities. * Support recruitment initiatives. * Foster positive relationships with community members. * Promote a culturally safe, welcoming, and inclusive learning environment. Team Participation * Participate in staff meetings. * Attend training and professional development. * Assist with departmental planning sessions. * Support continuous improvement initiatives. * Perform other related duties as assigned. Required Qualifications Education * Grade 12 Diploma * Post-secondary education in Office Administration, Business Administration, Education, Human Services, or a related field is preferred. Experience * Minimum two (2) years of administrative or client service experience. * Experience working with Indigenous communities is considered an asset. * Experience with education, employment, or training programs is preferred. Knowledge * Knowledge of Nak’azdli Whut’en culture, traditions, and values. * Knowledge of Indigenous Skills and Employment Training (ISET) programs. * Knowledge of Nak’azdli Whut’en Post-Secondary Education Policy. * Knowledge of community education resources. * Knowledge of local employment and training services. * Understanding of confidentiality and privacy legislation. * Knowledge of Microsoft Office applications. Hours of Work Your applicable shifts and hours will be assigned by the Education Manager from Monday to Friday, up to 35 hours per week, and it is expected that all work will be completed within your regular working hours, however, you may be required from time to time to work outside of your normal hours of work. Requirements
