4 days a week in office - Ottawa Office Norton Rose Fulbright Canada LLP is currently seeking a highly organized and detail-orientated Legal Assistant to work with our Business Group in the Ottawa Office. This position will appeal to candidates who enjoy a busy and challenging position in an office with a great culture. The primary responsibilities of the position are outlined below: You will be focusing on: Independently manage and organize the daily operations of four lawyers in our Business Law Group. Assist with the preparation and finalization of closing agendas and all transactional documents relating to corporate transactions. Preparation of monthly invoices and expense reports. Edit, format, draft and revise agreements, letters memos, reports, forms, labels and other printed material. Maintain lawyers’ calendars, including coordinating travel arrangements and tracking deadlines. Manage and coordinate client meetings, conference calls, etc. Provide general administrative assistance, such as responding to client inquiries, receiving incoming mail, handling courier requests and maintaining client file lists. Maintain an efficient document and file management system and bring forward system. Open and close client/matter files. Perform related duties as assigned and assist others as required. What you bring to the role: Minimum of five years of experience as a legal assistant, preferably in Business Law - Corporate, Commercial experience. Diploma from a Legal Assistant, Law Clerk or Paralegal program would be considered an asset. Must be able to prioritize, meet deadlines and adapt to frequently and rapidly changing priorities. Strong organizational skills and the ability to take initiative and work independently. Strong written and verbal communication skills in English; proficiency in French would be considered an asset. Proficiency with Windows and Microsoft 365 and document management systems. Excellent attention to detail and proofreading skills. Experience with styles and document formatting. Excellent interpersonal skills and the ability to communicate effectively with clients. Ability to take initiative when appropriate.
