Administrative Assistant (Accounting) Location: Preferably local to Spruce Grove, Alberta Schedule: Monday–Friday, 8 hours per day Opportunity: To grow a career within a growing company Position Summary Option Excavating Inc. is seeking a motivated and detail-oriented Administrative Assistant (Accounting) to support our accounting and administrative teams. This is an entry-level position with a primary focus on Accounts Payable, while also providing general administrative, employee documentation, and office support. This is an excellent opportunity for someone looking to gain hands-on accounting experience and develop a career within the construction industry. Key Responsibilities Accounting & Accounts Payable Process and enter invoices, receipts, and other financial information. Match invoices with purchase orders and supporting documentation. Follow up with employees, project teams, and vendors regarding missing information or discrepancies. Communicate professionally with vendors regarding invoices and payments. Maintain accurate and organized accounting records. Assist with employee expense reports and corporate credit card transactions. Assist with month-end, year-end, audits, and other accounting activities. Assist with accounting software, reporting, and job costing as required. Administrative Support Maintain organized digital and physical filing systems. Assist with scanning, filing, document preparation, and data entry. Assist with employee onboarding, time tracking, and employee documentation. Assist with general office duties and other administrative tasks. Qualifications & Skills Education or experience in accounting, finance, business, or administration is an asset. Strong attention to detail and accuracy. Excellent organization and time-management skills. Strong written and verbal communication skills. Ability to manage multiple priorities and meet deadlines. Comfortable using computers and digital systems. Experience with QuickBooks Desktop is required. Experience with Google Sheets, or similar software is an asset. Willingness to learn and take direction. Ability to work independently and as part of a team. Dependable, professional, and self-motivated. Ability to maintain confidential information. Professional Development Hands-on training in accounting and administrative processes. Exposure to construction accounting, job costing, audits, compliance, and field operations.
