In this dynamic role, your administrative expertise will play a key part in supporting the success of the team. Responsibilities: • Complete tax registrations in the Province of Québec for all offices, provide assistance with Canada Revenue Agency requests, merger notices, and manage client access to the Canada Revenue Agency and Revenu Québec online platforms. • Proofread, edit, and format documents, including letters, memoranda, file notes, legal opinions, and procedures. • Transcribe documents from handwritten notes and telephone messages. • Compare documents using Litera Compare. • Update client lists. • Perform photocopying, printing, and document scanning tasks. • Communicate with other legal professionals during the absence of supervising lawyers. • Prepare presentation materials when legal professionals are speaking at conferences. • Open new files. • Follow up on internal and external calls as required. • Initiate conference calls. • Manage calendars. • Manage emails. • Search, enter, and update information in OnePlace. • Arrange travel, vehicle, hotel, and restaurant reservations. • Book conference rooms for meetings, videoconferences, and client meetings. • Order meals, beverages, and other required supplies. • Prepare conflict search requests and forward them to the appropriate individuals. • Monitor daily time entries and enter or revise them in the system. • Review and validate time entries on a weekly and monthly basis. • Prepare monthly billing. • Prepare expense reports, obtain the required approvals, and follow up as needed. • Prepare cheque requests or trust account bank transfer requests. • Provide support to legal professionals and administrative assistants within the department or other departments as required. • Assist students and articling students as required. • Commission affidavits for lawyers and clients. • What you will need to succeed: What you will need to succeed: • Diploma in Legal Secretarial Studies or an equivalent qualification. • 3-5 years of experience in a private law firm supporting one or more legal professionals, ideally including a partner. • Experience with, or interest in, administrative procedures involving the Canada Revenue Agency and Revenu Québec. • Ability to handle confidential information and regulatory deadlines. • Proficiency with Microsoft Office, including Word, Outlook, PowerPoint, and Excel. • Knowledge of iManage is considered an asset. • Good knowledge of legal procedures and practices. • Strong computer skills and proficiency with office software. • Bilingual in English and French to communicate with legal professionals, clients, and internal and external stakeholders across Canada and internationally. • Excellent ability to manage multiple priorities in a fast-paced environment while meeting tight deadlines. • Strong organizational skills with the ability to manage multiple tasks. • Demonstrated initiative and the ability to work independently with minimal supervision. • Strong teamwork skills. • Excellent attention to detail.
