We are currently seeking an Administrative Assistant/ EHB Biller to join our team in the Bedford, NS Office. Reports to: Client Service Manager Position Summary The Administrative Assistant is responsible for supporting the efficient day-to-day operation of the Bedford office. This position provides general administrative support to employees and management, coordinates office activities, maintains records, assists with scheduling, and ensures administrative processes are completed accurately and efficiently. This position is full-time in office located at 120 Western Pkwy, Bedford NS. The successful candidate will be organized, approachable, detail-oriented, service-focused, and comfortable managing multiple administrative tasks throughout the day. Key Responsibilities Reception & Internal Team Support * Serve as a welcoming and professional point of contact for visitors and employees. * Respond to general inquiries and direct requests to the appropriate department or individual. * Answer and direct telephone calls and general correspondence as required. * Provide information about office procedures and administrative processes. * Support a positive and professional office environment. * Assist with onboarding logistics and office setup for new employees. Office Administration * Coordinate day-to-day office administrative activities. * Maintain organized electronic and physical filing systems. * Manage office supplies, equipment, and general administrative resources. * Monitor inventory and place orders for office supplies as required. * Coordinate office maintenance, repairs, vendors, and service providers. * Ensure common areas and administrative spaces are organized and functional. * Assist with office moves, setups, events, and other operational activities. * Receive and distribute mail, packages, and deliveries. * Maintain office contact lists and administrative records. * Complete photocopying, scanning, filing, document preparation, and other administrative tasks. Scheduling & Coordination * Schedule routine meetings, appointments, and office activities. * Coordinate meeting rooms, catering, technology, and other meeting requirements. * Maintain shared calendars and office schedules. * Assist with scheduling employee activities, training, events, and appointments as required. * Communicate scheduling changes and updates to appropriate individuals. EHB Billing Support * Accurate and timely EHB billing to support clinic operations as assigned. * Utilize technology to manage the Ministry of Health CPAP billing processes, including patient information, and payment transactions. * The collection of outstanding accounts receivables. * Investigate and resolve any rejections, and discrepancies in a timely manner. * Maintain organized documentation of ADP applications that are ready for submission before processing them to the Ministry of Health. * Oversight and auditing of billing practices, insurance verification, and collections to maintain compliance across clinics and ensure timely execution of such. * Stay informed about changes in ADP (CPAP) funding, billing, and insurance policies to ensure compliance. Skills & Qualifications * Post-secondary education in Office Administration, Business Administration, or a related field is preferred. * 3-5 years of administrative or office coordination experience preferred. * Strong organizational and time-management skills. * Excellent written and verbal communication skills. * Strong attention to detail. * Proficiency with Microsoft Office, including Outlook, Word, Excel, PowerPoint, and Teams. * Demonstrate flexibility and adaptability with the ability to manage multiple tasks and changing priorities. * Professional and approachable interpersonal style. * Ability to work independently while also contributing effectively to a team.
