With an established client base of 35,000+ clients, we are looking for a professional, friendly, and organized Receptionist to join our team and help create an exceptional experience for every client who walks through our doors. Role Description This is a flexible part-time, on-site Receptionist role supporting the day-to-day operations of our wellness services. The successful candidate will be an important part of the client experience, working closely with clients, practitioners, and the broader River Stone team. Daily responsibilities include welcoming and assisting clients, managing appointments and schedules, answering phones and inquiries, processing payments, supporting practitioners, maintaining accurate client information, and helping ensure the clinic runs smoothly and efficiently. The role will primarily use Jane App and and other insurance/healthcare systems and platforms as required. Key Responsibilities Client Experience Welcome clients warmly and professionally Manage client check-in and check-out Answer phones, emails, and client inquiries Provide accurate information about services, practitioners, appointments, and clinic policies Address routine client concerns and escalate appropriately when required Create a positive and welcoming front-desk experience Scheduling & Booking Schedule, reschedule, and confirm client appointments Manage practitioner schedules and availability Monitor appointment gaps and booking opportunities Support practitioner utilization and client retention Use Jane App accurately and efficiently Administrative Support Process payments and assist with billing-related tasks Maintain accurate client information and administrative records Support practitioners with day-to-day administrative needs Follow established clinic procedures and SOPs Assist with general administrative tasks as required Clinic Operations Help ensure the reception area and clinic environment remain organized, professional, and welcoming Communicate effectively with practitioners, management, and other team members Identify and help resolve operational issues Support clinic initiatives, promotions, and client communication Maintain a high standard of professionalism and service at all times Privacy & Confidentiality Maintain strict confidentiality of all client information Follow River Stone privacy, confidentiality, and information-security policies Handle client information appropriately and securely Ensure client information is only accessed or discussed for appropriate business purposes Position Requirements The successful candidate will: Have previous customer service, reception, administrative, or healthcare/wellness experience Provide professional, friendly, and client-focused service Have excellent communication and interpersonal skills Be responsible, reliable, organized, and committed to a strong work ethic Have excellent attention to detail Be comfortable managing multiple priorities in a busy environment Be confident using computers and learning new software systems Have experience with scheduling or booking software — an asset Experience with Jane App — an asset Experience in a healthcare, wellness, spa, fitness, or other service-based environment — an asset Experience with payment processing and administrative systems — an asset Be comfortable handling confidential and sensitive client information Be available to work a combination of days, evenings and weekends as required Compensation & Benefits Competitive compensation based on experience Group Health Benefits Plan, including medical, dental, prescription coverage, and more Employee Discount Program on products and services across our clinic divisions Continuing Education & Professional Development Opportunities Opportunities for growth and development A warm, friendly, and professional work environment Conditions of Employment Successful candidates will be required to provide: Proof of a satisfactory criminal record check Completion of required privacy, confidentiality, and information-security training Any required employment-related documentation and references Commitment to maintaining the confidentiality and security of all client information Interested in Joining Our Team?
