The Opportunity We're looking for a motivated, driven and highly organized Operations Coordinator to join our high-performance team. This role sits at the center of the firm: supporting active search engagements, keeping our processes running flawlessly, and helping deliver a seamless experience for every client and candidate we work with. You'll work closely with partners and recruiters across multiple live searches, while also owning the operational backbone of the firm day to day. It's a broad, hands-on role for someone who is organized, thrives on variety, and wants a front-row seat to how a high-growth executive search firm actually runs. This role reports to the COO, with close day-to-day collaboration across our search and partner teams. Key Responsibilities Search & Project Support Coordinate timelines and deliverables across multiple active search mandates, flagging risks before they become bottlenecks Schedule and manage candidate and client interviews, calls, and meetings across time zones Maintain accurate, up-to-date records in our CRM, including candidate activity and search status Help prepare client-ready candidate profiles, shortlists, and presentation materials alongside recruiters and partners Process & Operations Own day-to-day office operations: vendor relationships, supplies, facilities, and scheduling Coordinate logistics for team meetings, offsites, and firm events Support onboarding logistics for new hires Identify and help implement small process improvements that keep the firm running efficiently Client Coordination Serve as a reliable point of contact for client-facing logistics: scheduling, follow-ups, and status updates Maintain accurate records of client communications and next steps Help ensure a consistent, professional experience across every client and candidate touchpoint About You Highly organized, with the ability to juggle multiple searches, projects, and priorities without dropping details Excellent written and verbal communication skills: clear, professional, and precise A proactive problem solver who is comfortable owning ambiguous tasks end to end Comfortable in a fast-paced, high-growth environment with shifting priorities and tight timelines 1 to 3 years of experience in coordination, operations, executive search, or professional services preferred; exceptional entry-level candidates are welcome to apply Tech-savvy and quick to learn new tools and CRM systems Collaborative, humble, and driven to grow What We Offer A competitive base salary + performance-based bonuses A flexible work environment built on trust and autonomy Unique perks, rewards, and recognition tied to performance and impact Access to best-in-class technology and tools Direct exposure to how a high-performing executive search firm operates, with a clear path for growth An entrepreneurial, supportive culture where your voice matters and your work has impact
