HR and Office Administration Associate is a dual-matrix role that provides support across Human Resources and Office administration functions within a fast-paced airport environment. This is an on-site position based at Toronto Pearson International Airport (YYZ), with occasional travel to Billy Bishop Toronto City Airport (YTZ). Flexibility is required, as occasional weekend shifts may be required and work schedules may vary based on operational needs. Essential Functions Provide routine administrative support for execution and reporting of human resources and Office Administration functions within an airport setting, in all cases, following company standards. Perform administrative projects, such as compiling a variety of reports, some of which may be coordinating with IT personnel to deliver accurate system reports. Support Job Fairs support, including supporting initial interviews. Supports new employee onboarding, data reporting, recordkeeping. Facilitates badging, parking, uniform inventory management and distribution. May be assigned as an airport signatory to set up new employee airport credentials, parking, etc. and retrieve upon termination. Performs other related duties as required and assigned. Qualifications & Skills Strong organizational, interpersonal, and problem-solving skills with a proactive, self-starting approach. Excellent verbal and written communication skills, with strong attention to detail and follow-through. Ability to maintain confidentiality and exercise sound judgment in a professional environment. Proven ability to manage multiple priorities, work under pressure, and resolve challenging situations effectively. Strong analytical skills with the ability to assess processes, identify opportunities for improvement, and implement solutions. Ability to maintain accurate records and manage administrative processes efficiently. Positive, collaborative attitude with a commitment to fostering strong working relationships and supporting a team-oriented culture. Education & Experience High school certificate required. Preference to have successful completion of a bachelor’s degree (or international equivalent) in business administration or related field. Minimum of three (3) years of experience in Office administration and human resources team members in a similar position. Proven ability to handle conflict and resolve uncomfortable situations with staff, customers, peers and direct reports. Proficiency with Microsoft Office applications and experience using financial, accounting, or inventory management systems. Experience in a fast-paced, multi-department environment is considered an asset.
