The Unity Health Student Centre is seeking a highly organized, collaborative, and customer service-oriented Systems Coordinator to support the delivery of exceptional educational experiences for learners across the hospital. This position is based primarily at St. Joseph's Health Centre and plays a key role in coordinating learner registration, onboarding, scheduling, curriculum delivery, and day-to-day learner support. Working closely with hospital departments, academic institutions, faculty, and learners, the Systems Coordinator helps ensure that students are successfully integrated into the clinical learning environment and receive outstanding experience throughout their placement. The Student Centre supports learners across a wide range of disciplines, including Medicine (undergraduate and postgraduate), Nursing, Health Disciplines, and Administrative & Operational learners. About The Role Reporting to the Manager, Student Centre, the Systems Coordinator is responsible for coordinating the operational delivery of educational programs and clinical placements at St. Joseph's Health Centre. The successful candidate will oversee learner registration and onboarding, coordinate curriculum schedules and educational activities, support faculty and preceptors, and contribute to learner data reporting and quality improvement initiatives, including Medical Trainee Data (MTD) reconciliation and Learner Experience Survey (LES). This is a fast-paced, highly collaborative role requiring excellent organizational skills, attention to detail, sound judgment, and a strong commitment to customer service. Key Responsibilities Curriculum Delivery & Scheduling Coordinate the operational delivery of educational programs, curriculum, orientations, and teaching sessions. Recruit, schedule, and support tutors and clinical faculty for curriculum delivery and student examinations, developing and maintaining strong relationships with internal clinical experts and academic partners. Develop and maintain complex curriculum schedules while coordinating faculty, preceptors, classrooms, equipment, and educational resources. Coordinate departmental schedules for medical learners. Learner Registration & Onboarding Coordinate learner registration, validation, onboarding, and placement processes using the Unity Health Student Registration System and other organizational systems. Troubleshoot registration, onboarding, and placement issues while providing timely support to learners, educators, and academic partners. Facilitate learner access to required systems, resources, badges. Learner & Faculty Support Serve as a primary point of contact for learners, faculty, preceptors, hospital departments, and academic institutions. Provide exceptional customer service by responding to inquiries and resolving issues in a professional, timely, and compassionate manner. Foster positive relationships with internal and external partners to support an outstanding learner experience. Operational Coordination Coordinate room bookings, educational resources, teaching materials, and logistics for curriculum delivery. Support Student Centre initiatives and projects that enhance learner services and operational efficiency. Participate in continuous quality improvement initiatives to strengthen learner support and educational processes. Data & Reporting Maintain accurate learner records and support data collection, reporting, and quality assurance activities. Generate reports and assist with tracking learner activity, onboarding compliance, and education metrics. Support evaluation activities and contribute to quality improvement initiatives that enhance the learner experience. Coordinate the quarterly reconciliation and quality assurance of Medical Trainee Data (MTD) submitted to the Ministry of Health. Ensure data accuracy and completeness, recognizing its importance in supporting hospital funding for medical education. Qualifications Undergraduate degree, or an equivalent combination of education and experience. 2-5 years of recent, related experience required. Experience coordinating educational programs, student services, academic administration, or clinical education within a healthcare, college, or university environment is preferred. Demonstrated experience coordinating multiple priorities in a complex, fast-paced environment. Exceptional organizational skills with outstanding attention to detail. Strong interpersonal, written, and verbal communication skills. Proven ability to build collaborative relationships with diverse stakeholders. Excellent customer service skills and a learner-centred approach. Strong analytical and problem-solving abilities. Advanced proficiency with Microsoft Office, particularly Excel, and experience working with databases or student information systems. Ability to work independently while contributing effectively within a collaborative team environment. Work Environment This position is primarily based on-site at St. Joseph's Health Centre. Regular in-person interaction with learners, faculty, educators, hospital departments, and academic partners is essential to support curriculum delivery, learner onboarding, and day-to-day educational operations. The regular work schedule is Monday to Friday, 8:00 a.m. to 4:00 p.m. While the role follows standard business hours, occasional flexibility is required to support learner orientations, curriculum activities, or special educational events outside of regular hours a few times each year. As part of the Unity Health Toronto Education portfolio, occasional travel to St. Michael's Hospital and Providence Healthcare may be required to support cross-site educational activities, meetings, and collaborative initiatives.
