Position Summary: The Human Resources & Payroll Advisor is a people-focused problem solver who keeps the day-to-day HR and payroll experience running smoothly. From processing payroll and maintaining employee records to supporting benefits, HR systems, and employee lifecycle processes, you’ll be a trusted go-to for employees and leaders. Working closely with People & Culture, Finance, and leaders across the organization, you’ll bring accuracy, organization, confidentiality, and a great employee experience to everything you do. Duties and Responsibilities: Payroll Administration Manage the full payroll cycle in partnership with a managed payroll services provider (ADP Workforce Now), ensuring accurate, timely, and compliant payroll processing for up to 200 employees. Process payroll-related employee changes, including hires, terminations, promotions, transfers, salary changes, leaves, deductions, taxable benefits, and other payroll inputs. Validate timesheets, hours, overtime, vacation, statutory holiday pay, and other required payroll documentation. Coordinate payroll adjustments, ROEs, remittances, and year-end activities, T4’s and related reporting with the managed payroll provider (ADP Workforce Now). Reconcile payroll reports, investigate and resolve discrepancies, and maintain accurate payroll records. Respond to employee and manager payroll inquiries and liaise with the Finance, ADP Workforce Now, Provincial, and Federal agencies as required. Human Resources Administration Provide confidential administrative support and facilitate effective daily operations in the department in accordance with the collective agreement and management policies. Provide accurate and current information regarding payroll, benefits, policies and procedures, recruitment, and communications to employees and managers. Update and maintain ADP Workforce Now HRIS system, including new hires, employee changes, and terminations, and reports as required Research and develop best practices and resource materials such as job descriptions, handbooks, orientation manuals, training manuals, evaluation materials, etc. Respond to routine employee and manager questions and escalate complex matters appropriately. HRIS, Compliance & Process Improvement Maintain data integrity across ADP Workforce Now by completing audits, correcting discrepancies , and supporting records retention requirements. Produce standard HR/payroll reports and support projects as required Maintain working knowledge of Alberta Employment Standards, Canadian payroll requirements , and applicable collective agreement provisions. Maintain strict confidentiality and security of employee and payroll information Identify opportunities to streamline HR/payroll processes, improve efficiency and enhance the employee experience. General HR Support Maintain data integrity across ADP Workforce Now by completing audits, correct discrepancies and supporting records retentions requirements. Produce standard HR/payroll reports and support projects as required Maintain working knowledge of Alberta Employment Standards, Canadian payroll requirements and applicable collective agreement provisions. Maintain strict confidentiality and security of employee and payroll information Identify opportunities to streamline HR/payroll processes, improve efficiency and enhance the employee experience. Qualifications: Knowledge and Abilities: Demonstrated hands-on experience with ADP Workforce Now for payroll and HR administration, Including processing timesheets, payroll data, and generation of reports in ADP Workforce Now and WCB/Insurance claims. In depth knowledge of employment legislation, Canadian Payroll procedures and WCB requirements. Proficiency in ADP Workforce Now Proven ability to operate ADP Workforce Now for comprehensive HR and Payroll tasks Strong Microsoft Office skills, particularly Excel. Strong attention to detail, organization and time management, with the ability to manage competing priorities and tight deadlines. Strong written and verbal communication skills, sound judgment and discretion with confidential information. Strong service orientation and ability to work effectively with employees, managers and external providers. Education and Experience: Post-secondary education in Human Resources, Payroll, Business Administration or a related field, or an equivalent combination of education and experience. Minimum 3–5 years of progressive experience in payroll and HR administration, including Canadian payroll. Preferred / Assets Payroll Compliance Practitioner (PCP) designation or active progress toward PCP certification. Experience with benefits, pension/RRSP programs, leaves, HRIS implementation or process improvement. Experience in a unionized environment and/or interpreting collective agreement provisions related to payroll and employee administration. Experience in a not-for-profit, public-sector, cultural, educational or similarly complex organization Note: A clean Police Information Check including the vulnerable sector is a condition of employment for successful candidates. The check must be completed prior to commencement of work and is the financial responsibility of the candidate. Wages: $65,000.00 – $91,000.00/ annually Hours of Work: 75 hours bi-weekly (37.5 weekly) Monday through Friday, 8:30 am to 4:30 pm, with a flexible schedule required for evening events, training, or statutory holidays.
