The Finance and Accounting team provides organizational support through the accurate and timely administration of payroll, benefits, employee records, financial reporting, and compliance processes. The team works collaboratively across the agency to ensure employees are paid accurately, benefits are administered effectively, and organizational financial obligations are met in accordance with legislative and regulatory requirements. The Position The Payroll Administrator is responsible for the full payroll cycle for the organization. Reporting to the Accounting Manager, this position manages semi-monthly payroll processing, payroll records, source deduction remittances, year-end payroll reporting, benefits and leave administration, and group savings plan administration. The successful candidate will ensure payroll accuracy, legislative compliance, confidentiality, and exceptional service to employees across the agency. The Payroll Administrator works closely with Finance, Human Resources, managers, employees, benefit providers, retirement savings providers, and government agencies to ensure payroll and benefits services are delivered accurately and in compliance with applicable legislation and organizational policies. Key Responsibilities Process full-cycle semi-monthly payroll, including employee earnings, taxable benefits, statutory and other deductions, payroll adjustments, CRA remittances, reconciliations, and year-end reporting. Prepare and submit Records of Employment (ROEs) in accordance with Service Canada requirements and legislated timelines. Maintain accurate employee payroll and employment records, including employment agreements, wage and status changes, salary increases, vacation accruals, and terminations. Administer employee benefits, including enrollments, changes, terminations, monthly updates, premium deductions, invoice reconciliations, and employee inquiries. Support employee leave of absences by updating payroll records and ensuring accurate payroll and benefits of administration throughout the leave period. Administer Group RRSP and TFSA plans, including enrollments, contribution changes, deductions, remittances, terminations, and reconciliations. Maintain accurate information in BambooHR and payroll systems, reconcile vacation balances, and prepare payroll and benefits reports. Review and validate timesheets, work hours, leave balances, and payroll data to ensure accuracy and completeness prior to payroll processing. Respond to employee, management, and government agency inquiries regarding payroll, benefits, and employment records. Collaborate with Finance, Human Resources, managers, employees, and external providers to ensure payroll accuracy, legislative compliance, and effective service delivery. Qualifications Education & Certifications Diploma or post-secondary education in Payroll Administration, Accounting, Finance, Business Administration, or a related field. Payroll Compliance Professional (PCP) designation. Experience Experience using computerized payroll systems, preferably Microsoft Great Plains, including payroll processing, reporting, reconciliations, and system maintenance. Minimum three years of payroll administration experience in a multi-employee environment. Demonstrated ability to learn and adapt to new software platforms, technologies, and business processes. Experience processing full-cycle payroll, statutory remittances, reconciliations, and year-end payroll reporting. Experience administering employee benefits, disability and other leaves, and group savings plans. Knowledge of payroll legislation, Alberta Employment Standards, CRA requirements, CPP, EI, income tax, and payroll best practices. Demonstrated ability to learn and adapt to new software platforms, technologies, and business processes. Experience with BambooHR or a similar HRIS platform is considered an asset. Proficiency in Microsoft Office applications, particularly Excel. Strong attention to detail and demonstrate commitment to accuracy. Excellent organizational, analytical, problem-solving, and time-management skills. Ability to handle confidential and sensitive employee information with professionalism and discretion. Ability to work independently while contributing effectively as part of a collaborative team. Your past does not define your future.
