Singleton Reynolds is seeking an experienced legal administrative professional to join our Commercial Litigation Department in our Toronto office. The successful candidate will work closely with a team of lawyers and will play an integral role in supporting a busy litigation practice. This position involves preparing, drafting, editing, and formatting correspondence, legal documents, reports, forms, and spreadsheets. Responsibilities include maintaining calendars, scheduling appointments, managing bring-forward systems, opening and closing files, arranging examinations for discovery and trial dates, completing time entries and billings, processing incoming and outgoing mail, managing a high volume of correspondence, monitoring deadlines and limitation dates, and providing clear, concise, and professional communication both verbally and in writing. The role also requires balancing competing priorities while supporting a demanding practice and performing other related administrative duties as required. The ideal candidate will have 5+ years of experience as a Legal Administrative Assistant, preferably within a commercial litigation practice. Experience with arbitrations and alternative dispute resolution processes is considered an asset. Candidates should have superior organizational and document management skills, exceptional attention to detail, advanced technical aptitude, and strong knowledge of Microsoft Word, Excel, Outlook, case management software, time-tracking software, CaseLines, and ACL. A thorough understanding of litigation procedures, court rules, and the Rules of Civil Procedure is essential. The successful candidate will demonstrate excellent time management and communication skills, a strong work ethic, sound business judgment, and the ability to handle confidential information with discretion. The ability to work both independently and collaboratively, deliver outstanding client service, maintain a high degree of accuracy, and thrive in a fast-paced, deadline-driven environment is critical to success in this role. Requirements

Candidates should have at least five years of legal administrative assistant experience, preferably in commercial litigation, and a thorough understanding of litigation procedures, court rules, and the Rules of Civil Procedure. Strong organizational, document management, technical, communication, and time management skills are required, along with proficiency in Microsoft Office, case management and time-tracking software, CaseLines, and ACL.
