We are currently seeking a highly organized and detail-oriented individual to join our team as a Senior Executive Assistant. Position Overview We are looking for a highly organized and proactive Senior Executive Assistant to join our team. This role is ideal for someone who thrives in a busy professional services environment and takes pride in providing top-tier administrative support. Success Profile The successful candidate will be recognized by colleagues and clients for exceptional document production capabilities, meticulous attention to detail, strong organizational skills, and the ability to manage sensitive information with discretion. They will bring extensive experience supporting lawyers or senior professionals, confidently producing complex legal and/or executive documents, coordinating competing deadlines, and consistently delivering polished work product with minimal supervision. Key Responsibilities Maintain and organize electronic files, ensuring accuracy and confidentiality, including opening/closing files. Expert-level document production and formatting skills in Microsoft Word, including styles, templates, table of contents generation, section breaks, cross-referencing, and document comparison. Organizing content into concise, visually engaging Microsoft PowerPoint presentations. Provide administrative and legal support to lawyers, including drafting correspondence and preparing legal documents. Oversee calendar management, coordinate meetings, and handle direct client communication for scheduling calls and appointments. Liaise with clients, outside vendors, and other legal professionals in a professional manner. Assist in the preparation of reports, presentations, and other legal materials. Support billing and time entry processes as needed. Other administrative and clerical tasks as needed. Qualifications & Skills A university or college degree in business administration or a related field (or equivalent experience). Minimum 10 years experience as an Executive Assistant, preferably in a law firm or professional services environment. Strong organizational skills and ability to manage multiple priorities with tight deadlines. Advanced proofreading and quality control skills with exceptional attention to formatting consistency. Excellent written and verbal communication skills. Advanced proficiency in Microsoft Office (Word, Outlook, Excel) and legal practice management software.
