Position Summary Job Type: Full-time, permanent Hours of Work: 8:30am – 4:30pm, Monday to Friday Reports to: Director of Human Resources Department: Human Resources Working with the HR team, the HR Assistant provides confidential administrative and operational support primarily to the Director of Human Resources. The position supports the Director with HR projects, communications, meetings, presentations, training coordination, employee activities, project tracking, and other administrative priorities to support the effective operation of the HR department. Key Responsibilities Performs all duties and responsibilities in accordance with Tla’amin policies, standards, practices, and procedures as directed by the Director of Human Resources. Maintains confidentiality as required pertaining to Citizens, clients, employees, and general matters of the Nation. Provides administrative and coordination support to the Director of Human Resources, including scheduling, meetings, correspondence, presentations, reports, and follow-up. Prepares and updates PowerPoint presentations, briefing materials, spreadsheets, reports, and other documents for the Director. Maintains and updates Monday.com boards and other HR project tracking tools and follows up on outstanding items and deadlines. Assists the Director with research and coordination of HR training, conferences, workshops, webinars, and professional development opportunities. Supports the development of HR learning and development activities, as required. Assists with drafting the HR newsletter, HR contribution for Nehmotl, employee communications, HR announcements, and employee spotlight materials. Sends payroll reminder emails to all staff and supervisors and provides administrative support for HR and Payroll communications. Provides administrative support for Health & Safety activities, communications, and action-item tracking. Serves as a member of the Social Committee and assists with coordinating staff activities, events, employee engagement, and recognition initiatives. Assists with planning and coordinating Christmas/holiday staff activities and approved employee gifts. Assists with preparing materials and coordinating meetings for the Director, including internal and external meetings. Supports HR projects and initiatives and coordinates follow-up with HR team members and other departments as directed by the Director. Maintains organized and confidential HR records, project files, and administrative documents. Works collaboratively with the HR team and other departments to support HR plans, programs, and department goals. Provides administrative backup to the HR team as required. Other duties as assigned by the Director of Human Resources. Qualifications Training, Education, Experience Grade 12 education, with post-secondary education and/or a certificate in Human Resources, Business Administration, or a related field preferred. Minimum 1–2 years of experience working in a Human Resources environment required. Experience providing administrative support to a manager, director, or senior HR professional is preferred. Experience handling confidential employee and HR information. Experience with BambooHR, applicant tracking systems (ATS), Monday.com, learning management systems (LMS), or other HR technology is an asset. Experience preparing presentations, communications, newsletters, or HR materials is an asset. An equivalent combination of education and experience will be considered. Prior experience working with Tla’amin Nation or other Indigenous governments or organizations is an asset. Acceptable Police Information Check with Vulnerable Sector Check prior to employment. Knowledge, Skills, Abilities Knowledge of HR practices, processes, terminology, and administrative procedures. Knowledge and/or experience working within the Tla’amin Nation government structure and with Tla’amin people and Indigenous communities. Demonstrated ability to handle sensitive and highly confidential information with discretion and maintain confidentiality at all times. Excellent organizational and time-management skills, with strong attention to detail and the ability to manage multiple priorities and deadlines. Strong written and verbal communication skills, with the ability to communicate effectively with employees, managers, community members, departments, and external contacts. Intermediate to advanced proficiency in Microsoft Office 365, including Excel, Word, Outlook, PowerPoint, and Teams. Strong office administration, document formatting, filing, research, presentation, and coordination skills. Ability to assist with the development of professional presentations, HR communications, and other materials, combining strong technology skills with attention to design and presentation. Ability to work independently, take initiative, prioritize tasks, and provide proactive administrative support to the Director. Ability to build and maintain positive and respectful working relationships with employees, managers, community members, departments, and external contacts. Strong cultural sensitivity and demonstrated respect for Tla’amin Nation culture, traditions, values, and protocols. Working Conditions Work is performed primarily in an office environment. Occasional travel to attend meetings, training, conferences, or staff activities is required. Occasional flexibility outside regular working hours may be required to support approved staff events or meetings.
