We are currently seeking a Field Administrator to join our Field Construction Management team on a pipeline project in Sherwood Park, Alberta. Reporting to the Construction Manager, you will be responsible for providing administrative, document control, and project coordination support to the field team, ensuring efficient field office operations and the accurate, timely management of project documentation and reporting. You Will: Assist with project document control systems by filing, organizing, and appropriately naming documents in accordance with project requirements and Top Shelf’s Document Naming Convention. Maintain the project folder structure and filing systems, ensuring documentation is current, organized and uploaded in a timely manner. Support field inspection team by troubleshooting basic iPad and SharePoint issues and coordinating with technical support when required. Perform a variety of administrative and clerical duties, including data entry, reviewing and filing daily reports, maintaining project records, managing office supplies, updating contact lists, recording meeting minutes, organizing and uploading daily project photos, and preparing weekly progress client reports. Provide reception and office administration support by answering and directing phone calls, welcoming clients and visitors, coordinating catering, and ensuring smooth day-to-day office operations. Prepare, distribute and track document transmittals to the client and contractors while maintaining accurate transmittal logs. Support the Project Controller by entering and tracking daily LEM reports to ensure accurate and timely project cost reporting. Collaborate closely with the Construction Management and Inspection teams to ensure accurate and timely daily reporting and project documentation. Maintain accurate project records and support project turnover activities by ensuring documentation is complete, organized, and readily accessible. Assist with onboarding new inspectors by coordinating system access, distributing project documentation and reports, and configuring company managed iPads. Support the implementation and continuous improvement of project administrative processes and document control procedures Perform other administrative and project support duties as assigned. You Have: Post-secondary Education in Project Management, Business Administration, Finance or a related field. Minimum of 3 years of administrative experience, preferably within the energy sector Prior field-based experience supporting pipeline or construction projects is considered an asset Strong analytical, data entry and reporting skills with high attention to detail and accuracy Excellent written and verbal communication skills with the ability to interact professionally with clients, contractors, and project teams. Strong organizational, time management, and prioritization skills, with the ability to work independently in a fast-paced field office environment. Proficiency with Microsoft Office 365, including Teams, Excel, Word, Outlook, SharePoint and PowerPoint. Proficient in the use, setup, troubleshooting and support of Apple iPads, including updating applications, configuring devices, assisting users with connectivity and synchronization issues. Experience working with document management systems and cloud-based collaboration platforms such as Sharepoint. Willing and able to work in remote locations, remaining onsite in a field office for extended periods.
