This arrangement will allow you to work some days at a TCHC work location and the rest of the time from home. The amount of time required to work at a TCHC work location is flexible, while considering operational and service delivery requirements. Make a difference The Supervisor, Contract Management oversees the day to day execution of post award contract activities, including contract setup, amendments, renewals, extensions, and closeout. The role supervises a team of Contract Administrators and ensures consistent, accurate, and compliant use of the Contract Lifecycle Management (CLM) system for maintaining contract records, milestones, and documentation. This position serves as the escalation point for complex post award contract issues and works closely with Legal, Finance, Strategic Procurement (SPU), Vendor Relationship Management, Centre of Excellence, and Divisions to resolve documentation gaps, conflicting terms, terminations, and other contract risks. The role supports reporting, compliance, and continuous improvement of contract administration processes and controls. What you’ll do Post‑Award Oversight & CLM Record Governance (40%): Supervise the setup, amendment, renewal, extension, and closeout of contract records, ensuring all workflows, approvals, and documentation meet policy and procedural standards. Monitor the contract expiry review process by ensuring Contract Administrators act on expiry and renewal reports provided by the Data, Analytics & Technology function or designated reporting group. Identify and address escalated issues such as missing or conflicting contract terms, incomplete documentation, termination or early‑exit requirements, and other post‑award risks, coordinating resolution with Legal and relevant stakeholders prior to workflow progression. Supervise and validate that CLM contract records, including key milestones, vendor deliverables, renewal triggers, and contract metadata, are accurate, complete, and maintained in compliance with policy. Team Leadership & Workflow Coordination (30%): Assign and monitor daily workload of Contract Administrators to ensure adherence to timelines, workflow requirements, and documentation quality standards. Review complex or high‑risk contract files to confirm accuracy and completeness prior to record activation or advancement within the CLM system. Provide day to day guidance to team members on standard processes, escalating non‑standard or high risk scenarios, or ambiguous contract inputs to Supervisor / Sr Mgr Contract Management as appropriate. Stakeholder & Cross‑Functional Collaboration (20%): Act as a coordination point for Legal, Finance, SPU, and Divisions regarding post‑award contract administration challenges and documentation requirements. Collaborate with Vendor Relationship Management to validate vendor compliance inputs during renewals, extensions, performance issues, or other escalations requiring compliance confirmation. Support alignment between CLM processes, legal templates, and standard contract terms, including updates to documentation requirements and workflow routing. Participate in cross‑functional discussions, including with the Centre of Excellence, to improve integration between sourcing decisions, contract administration, tools, workflows, and reporting. Oversight, Risk & Continuous Improvement (10%): Monitor recurring contract issues, service and quality trends, and reporting dashboards to identify process gaps and control improvement opportunities. Validate the quality and completeness of CLM contract records and supporting documentation submitted by the team. Support testing, implementation, and rollout of CLM enhancements or upgrades in collaboration with the Data, Analytics & Technology team and other stakeholders. Recommend improvements to contract workflows, approval checkpoints, and controls based on lessons learned and trend analysis. What you’ll need Post secondary education in business, supply chain, public administration, legal studies, or a related field, or an equivalent combination of education and experience. 5–7 years of progressive experience in contract management, procurement, or a related field Experience overseeing post‑award contract administration activities, including contract setup, amendments, renewals, extensions, and closeout. Experience supervising staff and coordinating workflows with defined quality and documentation standards. Experience working with a Contract Lifecycle Management (CLM) system, including maintaining contract metadata, milestones, and deliverable tracking. Experience coordinating escalations with Legal, Finance, SPU, Vendor Relationship Management, Centre of Excellence, and Divisional stakeholders. Preferred: 7 –10 years of experience, including demonstrated experience overseeing contract administration and/or providing guidance to staff Experience supporting continuous improvement initiatives related to contract administration processes, workflows, and reporting. Experience supporting CLM system enhancements, testing, or process updates in collaboration with technology or reporting teams.
