Our valued client, a well-established boutique law firm, is seeking an experienced Business Law Legal Assistant to join its Calgary office. The firm has a close-knit team of approximately 15 to 20 professionals, with offices in Calgary and Vancouver. Its practice encompasses corporate, commercial, immigration, employment and litigation law. The firm takes pride in serving businesses, families and individuals with diligence and professionalism. Position Summary The successful candidate will primarily support lawyers and paralegals practising in corporate and commercial law, with the opportunity to assist in other practice areas as required. The Legal Assistant will provide comprehensive administrative and legal support, including preparing and revising legal documents, coordinating transactions and meetings, organizing files, managing schedules and communicating with clients. Strong organizational skills, technical proficiency and exceptional attention to detail will be essential to success in this role. Key Responsibilities Provide administrative and legal support to lawyers and paralegals practicing in corporate and commercial law, as well as other practice areas when required. Coordinate in-person, video and telephone meetings and assist with meeting preparation. Manage all aspects of client files, including conflict searches, retainers, file openings, organization, maintenance, billing and closing. Draft, format, proofread and revise correspondence, memoranda, agreements and other legal documents. Conduct corporate, property and other searches for due diligence and transactional purposes. Submit documents for registration with Alberta Land Titles, the Personal Property Registry and other applicable registries. Prepare and revise transactional documents, checklists and closing materials. Coordinate transaction and closing requirements. Prepare closing books and assist with organizing and updating corporate records. Complete time entry and assist with client billing. Support the firm’s marketing and business-development initiatives. Perform other legal and administrative duties as required. Qualifications and Skills A minimum of five years of experience as a Legal Assistant in corporate and commercial law or another transferable practice area. Excellent written and verbal communication skills. Exceptional attention to detail and accuracy. Strong organizational and time-management skills. A dependable, proactive and performance-oriented approach. A positive attitude and the ability to adapt to new technology, training and process improvements. Advanced proficiency with Microsoft Outlook, Teams and Excel. Advanced proficiency with Microsoft Word, particularly in formatting large and complex documents using styles, numbering, cross-references, tables of contents and document merges. Experience using document-comparison software and Adobe Acrobat. Experience with file and document management, communications and billing systems. The ability to manage competing priorities and work effectively in a busy, collaborative environment.
