Job Title: Student Enrollment Services Associate Position Summary The Student Enrollment Services Associate supports the administration of student enrollment, registration, and academic record processes. This role assists students with course registration, scheduling, enrollment documentation, and related inquiries while ensuring compliance with institutional policies and procedures. The Associate works collaboratively with internal departments to maintain accurate records, support student communication, and contribute to efficient enrollment operations. Responsibilities Process new student registrations for degree and diploma programs. Review and update student requirements and records in the system. Enroll students into courses and manage class schedules and waitlists. Process add/drop/withdrawal requests. Verify eligibility and prerequisites for course registration. Manage term breaks, leaves of absence, and authorized leaves. Prepare student documents such as enrollment letters, offer letters, provincial attestation letters, and work experience letters. Maintain communication with students regarding enrollment deadlines. Coordinate with Finance regarding tuition status before enrollment. Assist in policy handbook updates and related student information. Process student re-enrollments. Send class links and welcome emails to students. Maintain HCA cohort lists and track student status changes, including transfers, withdrawals, postponements, and failures. Review and respond to inquiries from shared email inboxes. Assist with course creation and schedule assignments. Ensure safekeeping and confidentiality of examination papers. Support final grade posting and academic record maintenance. Requirements To be successful in this role, candidates need to demonstrate the following competencies/skills: Strong attention to detail and high levels of data accuracy. Ability to organize and manage complex physical and digital filing systems. Proficiency with Student Information Systems (SIS) and data tracking tools (e.g., Excel). Knowledge of privacy standards and confidentiality protocols regarding student data. Strong time management skills and the ability to meet strict reporting deadlines. Clear written and verbal communication for departmental and instructor coordination. Education and Experience Education Diploma or Associate’s degree in Office Administration, Business, Records Management, or a related field (or equivalent experience). Experience Minimum 1 year of experience in academic administration, records management, or data support Familiarity with institutional or regulatory reporting (HCA, DLI, etc.) and compliance documentation is an asset.
