We are creating a place where seniors can feel at home, understood, respected, and cared for. Opening in early 2027, the Ng Siu Chan Care Centre represents an exciting new chapter for Yee Hong. The home focuses on serving the Chinese community and providing care that reflects residents’ language, traditions, food, programs, activities, and unique cultural needs. As we prepare for opening, we are building a dedicated team that will help bring this new home to life. Reporting to the Executive Director, your main purpose will be: * To coordinate the Home's integrated business-office operations, ensuring accurate, timely and resident-centred administration of financial services, resident records, reception and general office services. * To establish effective controls and service standards, safeguard confidential information, and provide clear guidance to residents, families and team members navigating financial and administrative processes. * To partner closely with Corporate Finance, Information Services and operational leaders. What You Will Do: Business Office Management * Lead the day-to-day operations of the Business Office, ensuring efficient workflows, service standards, and internal controls. * Coordinate administrative services across Finance, Reception and Administration to support accurate, timely and responsive service. * Advise the Executive Director and Home leadership team on business-office issues, risks and required improvements. Financial Administration & Controls * Oversee resident billing, accounts receivable/payable, trust accounts, deposits, reconciliations and month-end processes in partnership with Corporate Finance. * Ensure resident financial records, transactions and documentation are accurate, secure and compliant with legislation and organizational policies. * Support financial audits and investigations, identify discrepancies, and implement corrective actions. Resident Admissions & Family Service * Coordinate the financial and administrative components of resident admissions, including contracts, payment arrangements, charges, and required documentation. * Maintain accurate resident census, demographic and financial information and ensure timely communication of changes. * Respond to resident and family financial inquiries with professionalism, empathy, and discretion. Reception & Resident Experience * Oversee Reception and front-office services to provide a welcoming, organized and responsive experience for residents, families, visitors and team members. * Ensure inquiries, communications, and administrative requests are handled professionally, confidentially, and directed appropriately. * Support resident move-ins, Home communications and other administrative activities that contribute to a smooth resident experience. Compliance, Records & Continuous Improvement * Ensure that resident and financial records are maintained in accordance with privacy, legislative, and organizational requirements. * Monitor business-office processes, identify opportunities for improvement, and implement effective, standardized procedures. * Support compliance, quality improvement, emergency preparedness, and organizational initiatives as required. What You Will Bring: * A diploma or degree in Business Administration, Accounting, Finance or a related field; a combination of equivalent education and experience may be considered. * A minimum of 5 years of accounting, business office or financial administration experience; including experience with accounts receivable and resident or customer billing. * Experience coordinating complex business-office processes; long-term care or healthcare experience is an asset. * Working knowledge of Microsoft Office; experience with PointClickCare is an asset. * Ability to interpret and apply financial, privacy and records management relevant to the role; including long-term care policies, procedures and legislation. * Ability to explain complex financial information clearly and compassionately to residents, families, and team members. * Ability to communicate in Chinese or Japanese is an asset. * Satisfactory Police Vulnerable Sector Screen. * Ability to meet current immunization and tuberculosis-screening requirements.
