This position is covering a leave and will commence December 1, 2026, through to January 2028.POSITION OVERVIEWReporting directly to the Director of Advancement and Community Relations, this positionprovides comprehensive administrative support for the Advancement Office, including giftprocessing and data entry, donor stewardship and recognition, volunteer program support, andfundraising and community event support.PRINCIPAL DUTIES and RESPONSIBILITIES:Gift Processing• Processes all donations, sponsorship payments, and fundraising event ticket sales,ensuring that each is appropriately and promptly received, recorded, and receipted.• Consolidates financial transactions with the Finance Office, ensuring that donationsand receipts are reconciled on a monthly basis.• Processes donor thank-you letters and assists with the delivery of a comprehensivedonor and volunteer recognition program.• Maintains Raiser's Edge database to ensure all parent, donor, and alumniinformation is accurate.• Creates and revises policy and procedure manuals for database management.Assist staff in running reports to obtain information to support the departmentDonor Services and Advancement Team Support• Provides the Director of Advancement and Community Relations with statisticalreports as necessary.• Provides administrative support for fundraising events by setting up and maintainingevent database, assisting with cataloguing, and packaging auction items, managingguest registration and providing on-site assistance with guest check-out.Southridge School | Advancement Assistant Page 2 of 2Updated 2026-08-31• Supports the Events Manager and the Parent Volunteer Committee by providingadministrative support for a robust parent volunteer program.• Generates volunteer lists as needed and captures important information regardingvolunteers.• Liaises with the volunteer management software provider for setup, maintenance,and troubleshooting.• Provides administrative support for such events as coffee mornings, new parentnight and other community events.• Provides administrative support and mail list preparation for the school's annualreport, annual magazine, and other publications.• Provides administrative support for the Legacy Giving campaign, including campaignmaterials, correspondence, tracking, and other campaign-related activities asrequired.• Provides general administrative support to the Advancement department, includingbooking meeting rooms, coordinating meeting logistics, and other administrativeduties as required.EDUCATION/EXPERIENCE/KNOWLEDGE• Advanced knowledge of Microsoft Office applications, including Word and Excel• Tech savvy and a quick learner – experience using Raiser's Edge and Givergy wouldbe beneficial• Meticulous attention to detail and outstanding organizational skills• A strong writer and communicator• Exceptional interpersonal skills with the ability to work effectively andcollaboratively with anyone• Dependable and hard-working - someone who does what it takes to get the jobdone• Positive attitude and ability to contribute to a collaborative, team-orientedenvironment• Demonstrates a high degree of tact, diplomacy, discretion, and professionalism• Experience working with and supporting volunteers• Demonstrated analytical ability and thorough knowledge of both the developmentprocess and database systems• Ability to multi-task, work in a fast-paced office, and work with multiple prioritiesand deadlines with accuracy• Exceptional customer service skills, including patience, attentiveness, empathy, and adaptability QUALITIES: The ideal candidate will: be inspired to bring the Southridge mission to life in their daily activities and interactions with students, colleagues, and the wider school communityalign with and model the school's core values (truth, tolerance, compassion and respect)actively contribute to a vibrant school community in and beyond the classroombe an effective communicator with strong interpersonal skills JOIN OUR TEAM!The salary range for this position is from $60,000 to 70,000.
