We are looking for an organized, detail-oriented, and proactive Executive Assistant with an Accounting degree to provide high-level administrative and operational support to the Company CEO. This role is ideal for someone with previous experience as an Executive Assistant directly supporting a CEO or senior executive in a company with at least 15 employees. The position combines executive support, project coordination, data management, and accounting-related responsibilities. The ideal candidate is highly organized, comfortable working with numbers and data, and able to manage multiple priorities while maintaining accuracy and confidentiality. Key Responsibilities Executive & Administrative Support Provide direct support to the Company CEO. Manage the CEO’s calendar, schedule, meetings, and time-sensitive priorities. Assist with travel planning, bookings, and logistics. Track projects and follow up on key company priorities and deadlines. Coordinate tasks and information between the CEO and internal teams. Provide general administrative support to help keep daily operations organized. Data Entry & Data Management Perform daily imports of production data. Conduct regular data audits across multiple companies. Enter and maintain customer orders accurately. Track freight and deliveries and keep records updated. Prepare and maintain expense reports for the CEO and other team members. Ensure company data is accurate, complete, and up to date. Accounting Support As the candidate becomes familiar with the business, responsibilities may expand to provide backup support for: Accounts payable data entry. Vendor statement reconciliation. Bank reconciliation. Reviewing financial data and identifying discrepancies. Supporting other basic accounting and bookkeeping tasks as needed. Qualifications Bachelor’s degree in Accounting, Accountancy, or a related field. At least 2–3 years of experience as an Executive Assistant directly supporting a CEO, President, Owner, or senior executive. Experience supporting leadership in a company with at least 15 employees . Previous experience handling accounting, bookkeeping, financial data, or administrative finance tasks. Strong organizational and time-management skills. Excellent attention to detail and accuracy. Comfortable working with spreadsheets, financial data, and business records. Strong communication and follow-up skills. Ability to handle confidential information professionally. Proficient with Microsoft Office or Google Workspace, particularly Excel or Google Sheets. Able to work independently, manage competing priorities, and meet deadlines. Willingness to learn the company’s operations and take on additional responsibilities over time.
