Our client, a leading property restoration and remediation company, is seeking a highly organized and motivated Project Coordinator to join their growing team. The Project Coordinator plays a key role in supporting Project Managers with the planning, coordination, and execution of residential, commercial, and insurance restoration projects. Acting as a central point of contact for clients, insurance adjusters, subcontractors, suppliers, and internal stakeholders, this position is responsible for coordinating project intake, scheduling, documentation, communications, and emergency response activities to help ensure projects are delivered efficiently and on schedule. Duties may include, but are not limited to: Assist Project Managers with the coordination and administration of residential, commercial, and insurance restoration projects from intake to completion. Vet and qualify projects, assess scope and urgency, and assign appropriate resources before transferring files to Project Manager Serve as a primary point of contact for clients, handling inquiries, project updates, and ongoing communications Liaise with insurance adjusters regarding project scope, documentation, approvals, scheduling, and claim requirements Utilize Xactimate and XactAnalysis to support estimating, claim documentation, and project file management Coordinate emergency mitigation and restoration projects, including crew scheduling, resource dispatching, and client communications Maintain project schedules, monitor deadlines, and coordinate communication among clients, subcontractors, suppliers, technicians, and internal teams Prepare and maintain project documentation, track project costs and invoices, and support procurement, inspections, deficiencies, and project closeout activities Provide ongoing administrative and operational support to ensure projects are completed efficiently, on schedule, and in accordance with client and insurance requirements Required skills and qualifications: Previous experience in the property restoration, remediation, construction, or insurance industry is considered a strong asset Proven ability to manage multiple priorities and thrive in a fast-paced, high-volume environment Strong administrative and coordination experience, preferably in a deadline-driven setting Highly organized with exceptional time management and multitasking abilities Excellent verbal and written communication skills Strong client service and relationship-building skills Ability to work collaboratively within a team environment and build positive working relationships Dependable, reliable, and punctual with a strong work ethic Adaptable and able to respond effectively to changing priorities and urgent situations Tech-savvy with strong computer skills and the ability to learn new software quickly English language proficiency is required; bilingualism (English/French) is considered a significant asset Benefits and Perks: 2 weeks’ vacation Benefits package Long term disability Family-like atmosphere Opportunity to work with a variety of clients (residential, hospitals, long-term care facilities, correctional facilities, etc.) High-quality work environment with strict standards Social events to build camaraderie and team spirit Stable working hours for a healthy work-life balance Opportunities for growth and professional development Make a meaningful impact by helping individuals and families navigate challenging situations following property damage or loss Seeing projects progress from initial response through to successful completion and restoration Monday-to-Friday schedule, 8:00am to 5:00pm with a 1 hour lunch.
