Parts & Inventory Coordinator | Scarborough, Ontario (Fully Onsite) | 6-Month Contract-to-Permanent Opportunity Position Details Location: Scarborough, ON Work Arrangement: Fully Onsite (5 days/week) Schedule: Monday-Friday, 8:00 AM-4:30 PM Hours: 40 hours per week Compensation: Up to $26/hour Contract: 6 Months with strong potential for permanent employment Start Date: ASAP Parking: Available onsite Transit Accessible: Yes The Opportunity Our client is recognized as one of the leading commercial refrigeration service providers in the GTA, supporting customers across retail, supermarket, and commercial environments. Due to continued growth, they are seeking a Parts & Inventory Coordinator to join their operations team. This position is ideal for a highly organized individual who enjoys working in a fast-paced environment coordinating parts sourcing, inventory management, purchasing activities, and technician support. The successful candidate will possess strong administrative abilities, a mechanical aptitude, excellent follow-through, and the ability to manage multiple priorities while maintaining exceptional customer service. Key Responsibilities Parts Sourcing & Purchasing Source refrigeration, HVAC, and mechanical parts required for field service operations. Issue, track, and reconcile purchase orders for parts, materials, and equipment. Obtain pricing, prepare quotations, and support service-related estimates. Build and maintain strong vendor relationships while identifying alternate sourcing opportunities. Follow up with suppliers regarding availability, pricing, order accuracy, and delivery timelines. Process supplier invoices and maintain purchasing documentation. Coordinate warranty returns and ensure credits and refunds are properly tracked. Assist with project cost tracking and purchasing-related reporting. Inventory & Warehouse Operations Monitor inventory levels and maintain accurate inventory records. Support technician parts pickups and vehicle stock replenishment activities. Coordinate shipping and receiving functions, ensuring all inventory is received accurately and in good condition. Assist with inventory counts, stock reconciliations, and inventory audits. Identify obsolete, damaged, or slow-moving inventory. Maintain a clean, safe, and organized warehouse environment. Conduct routine inspections of tools, equipment, and storage areas. Support technician vehicle inventory reviews and warehouse best practices. Assist with onboarding new technicians on inventory and tool procedures. What You'll Bring Experience in Parts Coordination, Purchasing, Inventory Management, Procurement, Supply Chain, Service Coordination, or Warehouse Operations. Exposure to HVAC, Refrigeration, Mechanical Service, Facilities Maintenance, Construction, Manufacturing, or Industrial environments. Strong understanding of purchasing processes, vendor management, and inventory control. Experience sourcing parts and materials while managing multiple requests and deadlines. Mechanical aptitude and ability to understand technical parts requirements. Strong organizational skills and attention to detail. Excellent follow-through and ability to prioritize competing demands. Customer-focused mindset with strong communication skills. Intermediate Microsoft Office 365 skills including Excel, Outlook, Word, and SharePoint. Ability to lift up to 50 lbs when required. Preferred Qualifications HVAC or Refrigeration industry experience. Experience supporting field service technicians. Experience preparing purchase orders, quotations, and estimates. Inventory management and stock replenishment experience. Shipping and receiving experience. Vendor management and procurement experience. Experience using inventory management systems, ERP systems, or service management software. Candidates should have strong organizational, communication, and follow-through skills, mechanical aptitude, intermediate Microsoft Office 365 skills, and the ability to lift up to 50 pounds when required.
