Job details
This is a fully remote position allowing you to work from home full-time. You will be assisting with a portfolio of 4 commercial properties, as well as providing executive assistance/ personal support to the owner. This is very much a hybrid EA/ Property Administration role. If you have experience in executive support or property administration and are interested then please reach out! Compensation $60,000 - $80,000 per annum Benefits & Perks Medical and Dental benefits (Canada Life) 3 weeks vacation Responsibilities Coordinate repairs and maintenance across commercial properties in Vancouver and Squamish (e.g. scheduling a roofer at one of the Broadway properties, following up on an HVAC repair in Squamish) Get quotes from contractors, get approval, and make sure the work gets done and invoiced Manage ongoing relationships with 15+ vendors: roofing, HVAC, cleaning, landscaping, graffiti removal, security, refrigeration, and inspections Handle commercial tenant requests and coordinate access, service appointments, and any building-related issues that come up Keep track of maintenance schedules, inspection results, and open items across all properties Visit properties in Vancouver and Squamish as needed Manage tasks and projects in Asana, keep everything up to date Prepare monthly coordination reports and keep records organized Process invoices, track expenses, work with the bookkeeper (e.g. reviewing invoices from graffiti removal, landscaping, cleaning contractors and making sure they get paid) Handle insurance renewals, utility accounts (BC Hydro, gas), and vendor contracts Set up recurring payments and admin accounts across multiple properties (e.g. getting BC Hydro on automatic payment) Support the owner on personal tasks alongside the property work (e.g. coordinating an ICBC claim, finding a plumber to install a dishwasher, booking appointments, researching issues, organizing items, and household logistics) Coordinate appointments and follow up with lawyers, accountants, and other professionals as needed Handle confidential personal matters without sharing or making it an issue Qualifications Experience in property management, operations coordination, or executive support Valid BC driver's license, willing to travel to Squamish occasionally, we will cover travel costs /pay for an Evo At Aplin — together with our brands CompuStaff, Impact Recruitment, and Vantix Systems — we connect great people with great organizations across North America.
