The Service Writer is the main point of contact for working with the Service Manager and shop on all work orders and administrative duties that support the Service Department. This position requires someone who is highly motivated and a team player, ensuring the dealership surpasses customer expectations by completing required duties professionally and promptly. The Service Writer is responsible for the safe, effective, clean, organized, and professional performance of Service Department administrative functions at all times. Key Responsibilities Work Order & Administrative Support • Prepare work orders for the Service Manager's, Supervisor's, or Manager's review and approval. • Participate in the administrative duties of the Service Department — field, shop internal, and warranty — as assigned. • Enter time and job stories onto work orders accurately and promptly. • Help achieve Work In Progress targets and close work orders after authorization from the Manager or Supervisor. • Maintain Service Department filing and ensure records are organized and accessible. • Prepare and file warranty claims for respective OEMs. Customer Service & Communication • Answer calls coming into the Service Department. • Participate in the development and implementation of a customer-focused service philosophy within the department. • Participate in increasing revenues and customer service levels by helping improve service operation administrative processes. • Assist in dispatching technicians in the absence of the Service Manager or Supervisor. Payroll & Financial Processing • Enter time for payroll, have it reviewed by the Manager or Supervisor, and submit it to payroll on time. • Process expenses for technicians and ensure proper GL coding for purchases. • Maintain the HWIN process as the shop administrator. Other Duties • Perform other duties and projects as assigned by the Service Manager or Supervisor. Qualifications • Experience in a similar role in Agricultural or comparable industry an asset • Exceptional organizational skills. • Excellent written and oral communication skills. • Proficient time management skills. • Strong customer service skills, both on the phone and in person. • Good knowledge of financials to assist with customer account issues. • Excellent multitasking skills.
