About the Role Canadian Executive Search Group Inc. is seeking a highly organized, proactive, and detail-oriented Production Scheduler to support our growing staffing operations. This role is responsible for coordinating and maintaining multiple large-scale production schedules, ensuring client staffing requirements are met, and responding quickly to daily staffing changes. The ideal candidate thrives in a fast-paced environment, has strong communication and problem-solving skills, and can effectively balance client demands, employee attendance, and ongoing recruitment needs. Experience in staffing, production scheduling, or high-volume workforce coordination is considered an asset. Key Responsibilities Production Scheduling & Workforce Coordination Prepare, maintain, and distribute production schedules based on customer requirements, available labour capacity, and operational priorities. Manage multiple large production schedules, ensuring daily staffing and production requirements are consistently met. Create, maintain, and release weekly schedules, providing daily updates to reflect changes in staffing needs and production demands. Coordinate immediate backfills for temporary associates and team members who call in absent, minimizing disruptions to client operations. Monitor attendance and proactively identify potential staffing shortages. Recruitment & Labour Pool Management Continuously recruit and maintain a sufficiently large, qualified labour pool to support current and future client demands. Create and post job advertisements to address specific client staffing requirements. Communicate with candidates and temporary associates to confirm availability, shift assignments, and start dates. Coordinate onboarding and provide orientation instructions to new employees before their first shift. Client & Employee Relations Build and maintain strong working relationships with clients and temporary associates. Conduct daily check-ins and follow-ups with clients and employees to confirm attendance, performance, and staffing requirements. Respond promptly to client inquiries, resolve scheduling concerns, and provide ongoing operational support. Provide after-hours scheduling support and respond to urgent staffing requests as required. Administration & Documentation Maintain accurate employee files, attendance records, scheduling documentation, and performance notes. Document employee performance concerns and communicate relevant issues to the appropriate team members. Ensure all required registration, onboarding, and employment documentation is completed and maintained. Maintain clear and timely communication regarding schedule changes, absences, and replacement coverage. Qualifications & Skills Previous experience in production scheduling, staffing, recruitment, dispatch, or workforce coordination is an asset. Strong organizational skills and the ability to manage multiple schedules and competing priorities simultaneously. Excellent communication and relationship-building skills. Strong problem-solving abilities and the capacity to make quick decisions in a time-sensitive environment. Proficiency in Microsoft Office, Outlook, Excel, and scheduling systems. High attention to detail and accuracy when managing schedules and employee records. Ability to work independently, take initiative, and thrive in a fast-paced environment.
