JOB DESCRIPTION
CONMED is seeking an ambitious Medical Education Events & Equipment Coordinator who will be responsible for assisting with the coordination of regional tradeshows, educational dinners, corporate and internal events. A large aspect of this role includes building registration sites and mobile APP, coordinating external invitations for educational events and lead management. The position will require the ability to assist and communicate clearly with internal and external clients, at all levels of the organization. This role may involve periods of high demand and pressure, making it essential to collaborate effectively and communicate clearly within a team environment.
KEY RESPONSIBILITIES
- Build and manage event registration websites and mobile applications, including reporting and proper distribution
- Create invitations for medical education events and support the Medical Education & Events Team regarding attendee communications
- Support lead management activities related to events and educational programs
- Communicate clearly and professionally with internal stakeholders and external customers at all organizational levels
- Assist in the coordination and execution of tradeshows, sales exhibits, corporate events, and internal meetings
- Ensure CONMED Canada’s sponsorships and events meet and exceed the compliance standard set-forth by CONMED and Medtech Canada
- In coordination with the Medical Education & Events, Marketing and Sales Leadership be accountable for the coordination and execution of annual sales and product training programs, including annual new hire trainings and national sales meeting.
SPONSORSHIPS RESPONSIBILITES
- Develop relationships and communicate with various associations as needed regarding membership, event opportunities and marketing event activities
- Process sponsorship payments for regional sponsorships
- Maintain show contracts, secure show services and process and track service payments
- Provide the marketing teams with sponsorship opportunities, deadlines and instructions in accordance with trade shows and vendors
- Coordinate and manage shipments with operations
- Manage and distribute leads post events
CORPORATE|MARKETING EVENTS & TRAINING RESPONSIBILITIES

Maintain a master calendar for all CONMED sponsorships

Provide on-site support at various Canadian sponsorships and events

Assist with ordering promotional items, equipment, displays, literature, giveaways, etc.

Coordinate printing of marketing collateral and training materials

Work within marcom guidance to ensure that messaging is on-brand, on-message and provides a consistent customer experience

Coordinate educational dinners and ensure logistics are well planned
QUALIFICATIONS
- Post-secondary education required (minimum college diploma)
- Minimum 1–2 years of experience in tradeshow coordination or event execution; experience within the medical device industry is considered an asset
- Highly detail-oriented with strong organizational skills
- Comfortable navigating virtual platforms and event technologies (experience is an asset)
- Excellent verbal and written communication skills
- Ability to travel up to 25% and maintain a flexible schedule, including occasional evenings and weekends to support events and initiatives
- Ability to work autonomously
- Self-starter with the ability to show significant initiative
- High level of energy, motivation, drive, persistence, initiative, commitment, and professionalism
- Excellent time management skills and the ability to adapt to changing environments
- Ability to build relationships with internal stakeholders, external sales force, and clinical customers
- Proficient in Microsoft Office Programs, Canva, Pheedloop and other design software
- Valid G driver’s license
- Capable of lifting up to 40 lbs and supporting physical event setup requirements
- Bilingual (English and French) is an asset
- Ability to work onsite four days per week, with one day remote
