The Thames Valley Family Health Team is one of the largest family health teams in Ontario. With more than 125 physicians across 21 sites within London, and Middlesex, Oxford and Elgin counties, the Thames Valley Family Health Team is committed to providing comprehensive inter-collaborative primary health care to over 162,000 patients. The Finance Administrator is responsible for providing comprehensive financial and administrative support for the day-to-day financial operations of the organization. This role consolidates accounts payable processing, financial record maintenance, credit card and clinic site reconciliations, document and contract management, and finance inbox administration into a single full-time function. The successful candidate will work closely with the Finance Lead to ensure the accuracy, integrity, and efficiency of TVFHT's financial operations across multiple funded entities and clinic sites. It requires strong attention to detail, comfort with various systems, and a high degree of confidentiality. Requirements A diploma in business administration, accounting, or a related field is an asset, though equivalent experience will be considered 3+ years of experience in finance, bookkeeping, or accounting Advanced proficiency in Microsoft Excel (e.g., pivot tables, formulas, data management) Ability to manage multiple tasks and deadlines effectively Strong organizational, time management, and communication skills Proven ability to work collaboratively with co-workers Key Responsibilities Financial Duties Maintain accurate and up-to-date records for accounts payable, code invoicing with correct accounts and classes, process vendor payments in a timely manner in accordance with TVFHT procedures Obtain new vendor documentation to process payments on vendor invoicing Performing reconciliations for credit cards and expense tracking across various clinic sites and/or projects within the organization Assist with providing financial reports for projects and various entities Support Finance Lead with annual audit preparation and any ad hoc financial reporting as necessary Administrative Duties Finance Inbox management, routing contracts, statements, packing slips, vendor communication, etc. to the correct places Contract and document management and tracking. Document types include equipment and property leases, funding agreements, sessional agreements, vendor contracts, and other related contractual agreements Maintain process documentation and identify any gaps that need to be addressed Internal and external communications with outside agencies and internal departments Team Competencies Collaborate and communicate with coworkers from various departments and/or back-office support team wherever necessary to complete workload required Demonstrate a team-based attitude, treating co-workers with respect and dignity in accordance with TVFHT’s policies Exercise discretion when handling confidential information Demonstrate adaptability, strong attention to detail, and work independently Have a willingness to seek and respond constructively to feedback Participate in team meetings and attend All Staff meetings when they occur on scheduled days of work Other Responsibilities Ensure compliance with applicable accounting standards Identify opportunities for process improvements and implement best practices Perform other duties as assigned by the Finance Lead or Executive Director, Performance and People Hourly rate depending on experience: $24.60 - $30.00 TO APPLY: Qualified and interested candidates are invited to submit a detailed resume.
